Position Overview 
In this key role, the Business Administrative will provide operational and administrative support to the AOS and AOI that will require in-depth knowledge of department operations, policies, and procedures both within AOS and AOI to support overall MDO business strategy. This individual will deal with highly sensitive information where integrity and maintaining confidentiality is critical.  


Key Responsibilities: 


  • Coordinates executive level communication and operations around personnel, HR, finance, Travel, expenses including technology requirements.
  • Supports the management of complex calendars including company calendar with the D3 personnel, management and AOS leadership including professional affiliations, external Boards & committees, personal scheduling, and travel calendars.
  • Prioritize inquiries and requests while troubleshooting conflicts; make recommendations to ensure smooth day-to-day engagements across AOS/ D3 and AOI stakeholders.
  • Demonstrated experience creating and managing long-term and short-term project plans, setting targets for milestones, adhering to deadlines, bringing strategy and thoughtfulness into project planning, and partnering with stakeholders to ensure the project team remains in synergy.
  • Strong interpersonal skills: ability to work with a broad range of people including Executive teams, Board members, colleagues of the CEO, community leaders and others.
  • Plans events such as quarterly meetings, recurring staff meetings, executive off-site, all-hands meetings, as well as assisting the team with the planning and execution of office and company events, etc.
  • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the executive leader, including those of a highly confidential, personal, or critical nature.
  • Ability to make appropriate, informed decisions regarding priorities and appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Superior organizational skills and attention to detail.
  • The ability to partner cross functionally and globally with the ability to execute work.
  • Coordinate administration activities related to Learning Management Systems specific to the following groups: Cyber Security, Applications, and Infrastructure. Work closely with IT to support the staff needs.

Required Skills


  • Bachelor’s degree and/or equivalent work experience.
  • Three to five years of successful experience in the area of responsibility and successful demonstration of Key Responsibilities and Knowledge as presented above.
  • Five years of successful experience in executive support, including supporting C-level executives.
  • Strong skills with Microsoft Office products, financial knowledge and use of Excel, Word, PowerPoint, Outlook and Teams.
  • Strong project management skills and the ability to partner on a project team successfully.
  • Skilled to proactively anticipate the needs and requirements of the leadership team being supported and act upon those requirements independently.
  • Experience with meeting planning/execution.
  • Working within a large complex, international environment.
  • Strong communication skills and the ability to communicate at all levels of the organization.
  • Ability to complete a high volume of tasks while working independently and with discretion.

Reports to:  Director - Medical Operations and Quality
