Brief description:
Responsible for managing & executing all Procurement related activities of the company. The position is expected to maintain & deliver highest ethical values while ensuring a mutual and successful relationship with all Zajil suppliers. A key attribute of this position is proper and timely co-ordianted activities to ensure the service required from suppliers does not affect the Zajil Sales commitment to its customers.

Also, to ensure Zajil procurement services are obtained and carried out through legal, reliable and dependable service providers.

Key responsibilities
• Maintain records of Materials & Services ordered and received.
• Locate vendors of materials, equipment or supplies, and interview them in order to determine product availability and terms of sales.
• Prepare and process requisitions and purchase orders for supplies and equipment.
• Assist in Controlling purchasing budgets & cost
• Review purchase order claims and contracts for conformance to company policy.
• Analyze market and delivery systems in order to assess present and future material availability.
• Develop and implement purchasing and contract management instructions, policies, and procedures.
• Participate in the development of specifications for equipment, products or substitute materials.
• Resolve vendor or contractor grievances, and claims against suppliers.
• Represent the company in negotiating contracts and formulating policies with suppliers.
• Review, evaluate, and approve specifications for issuing and awarding Purchase order & contracts
• Direct and coordinate activities of buying and distributing materials, equipment, machinery, and supplies.
• Administer on-line purchasing systems.
• Process the purchase orders by liaising with suppliers or principals
• Ensure all purchase are approved within mandated guidelines
• Ensure efficient & effective negotiations process is carried out for every purchasing done
• Assist in the sourcing process of new local and overseas suppliers
• Arrange air and sea freight and liaise with forwarders on services and costs
• Co-ordinate Clearance requirements, processes and documentation with Kuwait regulatory bodies (MOC, PAI, Customs Departments)
• Manage the local and outside Kuwait purchase enquiries
• Co-ordinate with Finance Department for Suppliers Advance Payment
• Co-ordinate with Finance Department for Suppliers Post-delivery Payment
• Review regular Purchasing processes to streamline, improve throughput and reduce paper work and rework
• Ensure seamless integration with logistics/warehouse and customer service
• Gathering records for supplier evaluation & re-evaluation
• Obtain Supplier acknowledgement of Purchase Order
• Update & communicate latest ETA & delivery duration to internal Zajil customers
• Assist in preparing Shipping & legal documents

Buyer Job - Kout Food Group

Responsible for planning and procuring items needed by the Company at most competitive prices and as per approved specifications

1. Detects and calculate needs of the company by using U.I.Ps and procure goods as per specifications and at most competitive prices. Obtains usage forecast and promotion plans from the Marketing and operations managers of various brands.
- Obtains stock status report from the warehouse.
- Obtains stock consumption report from finance dept.
- Prepares U.I.P based on the stock status, consumption report and sales forecasts.
- Negotiates prices and payment terms with the suppliers
- Negotiates freight rates with shipping companies.
- Ensures all products supplied by the suppliers are quality products as per franchisors specification.
- Develops new suppliers for various products and also develops supplier’s database.
- Monitors market prices for various raw materials and in various currencies and ensure best prices are negotiated.
- Monitors budget prices and ensures the stock prices are within or lower than the budget.
- Supports restaurant operation in launch of new products & opening of new restaurants on time.

2. Plans and maintains optimum stock levels and ensures no item is overstocked or under stocked.
- Monitors stock status reports to check the movement of goods.
- Monitors the arrival date of goods to ensure all the goods are arriving on time and to take corrective action in case of variations in the orders.
- Check with Marketing Dept. if the consumption of goods are as per forecasts or there is any increase in the requirement of any item.
- Check the expiry dates of the goods
- Follow up with the clearing agent for Baldiya approvals of the food products.
- Handles product complaints with suppliers, shipping companies and insurance companies.
- Advises warehouse expected arrival dates of the orders to arrange space.

3. Calculates and advises Finance Department about the Foreign Exchange requirements to enable them to arrange forward exchange contracts to cover exchange risks.

4. To follow up on near expired items and coordinate with the respective departments to ensure sale and / or consumption of those items before expiry.

- Hires, coaches, reviews, supervises, and recommends termination of assigned employees, or makes effective suggestions and recommendations that are given particular weight regarding the employment status of assigned employees.
- Prepares material and labor estimates.
- Establishes, assigns, and adjusts work methods and procedures to meet schedules using knowledge of capacities and capabilities of personnel and equipment.
- Initiates measures to improve methods, equipment performance, and quality of work.
- Ensures budgeting guidelines are met; prioritizes expenditures to stay within budget; assists in the preparation of capital and operations budgets.
- Interprets policies to assigned personnel, and enforces safety regulations and adherence to proper codes and standards.
- Recommends or initiates action involving promotions, transfers, disciplinary action, and motivation of employees.
-Maintains records and files, including the approval of time cards and absences, and submits as required.
- Trains and instructs employees in new methods or procedures.
- Maintains responsibility for the correct stock levels of repair or replacement parts.
- Inspects work in process to insure its completion within allotted time limits and for acceptable quality standards.
- Coordinates with suppliers, contractors, engineers, and others concerning equipment operations or maintenance.

About the Job:

In this role you will have the following responsibilities :

- Analyze purchasing requisitions to ensure clarity and completeness in technical specifications, quality standards, quantities and deliveries.

- Identify potential vendors, develop selection criteria and pre qualification.

- Develop and Issue Request for Quotation (RFQ) to qualified vendors.
