RoleThe role is an office-based, reporting to the Sales Manager, and will be responsible for dealing with the day to day commercial (non-technical) sales operations of the subsidiary. Procurement Coordinator Job - Petrochemical Conversion Company

The role of this position is to support and carry out PCC procurement activities as needed to ensure PCC Plant material or service needs are met in a timely, efficient, cost effective manner.

The job holder provides direct support for PCC procurement activities to ensure timely, efficient, cost effective management of these processes. They will track standard procurement key performance indicators, and metrics and issue reports as required by the PCC management team.
Internally works closely with all departments on issues related to procurement work processes especially confirmation and approvals for requisitions prior to processing them for purchases.
Externally has contact with regulatory personnel to ensure chemical permit requirements are identified and met. Develops and submits duty exemption lists as needed to ensure cost effective imports for PCC. Works with SChem peers to identify and adopt best practices for the improvement of PCC work processes.
Decisions: Participates in decisions relating to procurement of materials. Executes improvement plans and strategies for the procurement group and makes recommendations for changes in policies or procedures to support best practices and improved efficiency.

Key Accountabilities include:

ERP PROGRAM SUBJECT MATTER EXPERT (SME)
Learn the ERP program modules associated with all procurement functions. Become a super user and subject matter expert (SME) for ERP procurement activities, develop ERP instructions, procedures, training materials and provide training and mentoring to other personnel on these modules. Document all ERP processes in a manner that allows new employees to consistently execute procurement activities with minimal support.

PROCUREMENT ACTIVITIES
Receive purchase requisitions and process requests for quotations. Prepare bid tabs as needed. Process PO in the plant ERP system and issue PO to suppliers as needed.

SHIPPING COORDINATION
Coordinate with overseas shipping contractors for overseas purchase orders to ensure on-time delivery of materials. Prepare custom duty exemption lists and chemical permits as needed to meet regulatory requirements.

CUSTOM DUTY LIST AND CHEMICAL PERMITS

Coordinate with Warehouse and Maintenance personnel to maintain current chemical and spare part DEL. Coordinate with shipping contractors to include new items in the lists and apply for the coming year’s exemption. Interact with required government authorities to have the prepared DEL approved.

Manage all aspects of PCC chemical permitting needs and ensure timely permit approval by authorities.

DOCUMENT MANAGEMENT
Identify, flow chart (where applicable), and document practices, procedures, roles and responsibilities associated with PCC procurement activities. Maintain accurate documents and files to provide auditors with proof and accountability of PCC processes. Ensure document management activities occur per PCC policies and procedures to ensure files are properly retained, archived, or destroyed as required. Ensure personal files, including email, are managed per company documentation management requirements.

SYSTEM AUDITS
Support auditing efforts as identified by the Plant Compliance Assurance process and assigned by PCC management.
