We are looking for an experienced and efficient Secretary to join our team in Doha, Qatar. As a Secretary, you will be responsible for providing administrative support to ensure efficient operation of the office. You will be responsible for handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.


Responsibilities:

  • Manage the daily operations of the office, including scheduling appointments, organizing meetings, and maintaining office supplies.
  • Answer and direct phone calls and emails, take messages, and respond to inquiries in a professional and timely manner.
  • Schedule and coordinate appointments, meetings, provides administrative support to the General Manager.
  • Coordinate and maintain records, files, and databases, both electronic and hard copy, including confidential information.
  • Make travel arrangements, including booking flights, hotels, and transportation, and prepare itineraries.
  • Coordinate and provide assistance in data entry as required by the dept. heads.
  • Handle and prioritize incoming and outgoing mail and ensure that all mail is distributed to the appropriate departments or individuals.
  • Manage and maintain the office filing system, ensuring all documents are properly labeled, stored, and easily accessible.
  • Support senior executives and managers with administrative tasks, such as scheduling meetings, preparing reports, and conducting research.
  • Perform other duties as assigned by the GM and Department Heads to ensure the smooth running of the office.
