Overall Purpose of Job: To manage the Immigration process for all staff, ensuring an efficient and speedy process to expedite staff into Qatar. To manage the day to day administration of a busy HR department in Doha, ensuring a timely, accurate, efficient and proactive service is provided whilst offering some HR support and advice to all staff.
Main Responsibilities:• Is the main point of contact between the immigration department for all visas and related immigration activities and # Doha• Liaises with immigration and company sponsors as necessary to ensure an effective and expedient immigration processes, ensuring escalation of issues where necessary, whilst building strong relationships• Provides advice and guidance to all staff, on all related processes as part of living in Qatar • Verifies identification and qualification paperwork as needed. • Ensures the efficient and effective processing of all employment related administration to agreed standards and in liaison where necessary with the central # HR department in the UK (eg. producing letters for banks, car loans, facilitating medical checks & finger printing, administering Qatar medical cards, annual flights home, personal days/sickness tracking and end of contract gratuity. etc.),.• Ensures the accurate communication of information for the purposes of Doha payroll each month ensuring all required paperwork is completed and that information such as starters/leavers, changes to salary, benefits etc. are made, ensuring effective liaison with the Account Assistant • Manages Doha recruitment including advertising vacancies, sourcing recruitment agencies, screening CV’s, supporting interviews, issuing contracts, tracking recruitment activity, obtaining references, administration of shipping/settling in allowance etc in liaison with # central HR.• Effectively maintains HR information systems and files to ensure accurate, up to date information is kept at all times.• Undertakes research into local compensation levels and benefit provision if required. Liaises with central HR team for guidance on salaries and benefit packages.• Oversees probation reviews of all employees in accordance with agreed guidelines• Produces regular, agreed reports and documentation to enable effective analysis of organisation• Responsible for HR communication within Doha, under guidance of central HR team• Ensures company compliance with employment law requirements by keeping abreast of impending legislative changes, sharing information with the rest of the HR team and communicating as necessary to key stakeholders• Ensures all # Doha HR processes and practices are consistent with the rest of the organisation where possible.• Translates HR documentation as needed into Arabic• Liaises regularly with the central HR team and attends HR team meetings via Skype.• Undertakes any other duties as required.
Scope of Job:• Administration of Immigration/HR processes for approx. 140 staff
• Contract Administration and Planning• Familiarity with FIDIC and FIDIC based Contracts• Writing letters on contractual & commercial issues • Preparation & finalization of Contract Agreements & BOQs• Oversee Evaluation & preparation of Payment Certificates to Consultants & Contractors.• Project budget estimates & presentation.• Preparation of monthly status reports on Contracts & Commercial issues of the Project and report to the Client.• Coordination with Client and negotiate in finalizing the Contractor’s final settlements.• Conduct progress and co-ordination meetings and monitor all issues related to Project Management and implementation• Preparation, Evaluation and recommendation of Pre and Post-Construction claims.• Manage and administer the preparation of the tender documents to be issued for the construction contracts to assure integrity, coordination and completion to avoid the variations during the construction phase.• Monitoring Tendering process and finalization of Tender Evaluations& Reports.• Manage and supervise Evaluation of Variation Orders and Contractor’s Claims.
