Job Purpose

Ensure that all OF HQ procedures, Process, Forms and Policies are available in the Quality Portal. Ensure of controlling the changing in the procedures, process and forms. Responsible to analyzing Data to issue the quality reports.

Key Result Areas:

- Receive procedure documents and make sure that all relevant documentations are incorporated as per procedures prior to final signature.
- Report any breach on policies, procedures and/or documents to the Manager EDCS.
- Prepare, Issue and report on change requests from Directorates and centres.
- Provide accurate and timely reports as required.
- Ensure that the procedures and processes prescribed for the Electronic Document Control System are in place and implemented.
- Report on the performance of EDCS periodically to ascertain its continued suitability.
- Support the needs analysis exercises and provide suggestions on improving the EDCS.
- Supervise and direct Document control staff and ensure the timely and accurate completion of electronic Document Control tasks.
- Participate in continuous improvement activities to support the BPI Directorate.
- Consults with staff at all organization levels, representatives from organizations and groups, and the general public to give and/or secure necessary information.
- Ensure that e-document identical to the original document (Hardcopy - Master copy).
- Upload all the Procedures, Process, Forms and Policies in the Quality Portal.

Skills

Knowledge, Skills and Experience:

- Bachelors Degree in Business or equivalent is preferable.
- Minimum 2-5 years of relevant experience in the are of Document Control.
- Familiarization with Document Control system and techniques.
- Keen eye for detail.
- Fluent written and spoken English.
- Able to work under tight deadlines.
