Administrative Assistant
Astrolabe ICT s.a.l.
A- Job Purpose: To oversee and supervise the provision of full administrative support to all departments and running errands for the company; including but not limited to: receptionist activities,
deliveries, office maintenance and cleaning, building services maintenance.
B- Key Tasks/Accountabilities:
* Operating a switchboard: Answering telephones, handling calls, routing to appropriate individuals and taking messages.
* Receiving / pick up, sorting and registering mail (external and internal) and assisting in its distribution.
* Overseeing Document Processing (Photocopying, faxing, circulation, data collection, data entry, etc, …)
* Ensuring all correspondence delivery and pick up from and for the company (Banks, Travel Agencies, Clients, Prospects, …)
* Ensuring, supervised, the update of all company legal forms and policies.
* Managing and following up on all office maintenance contracts. Coordinating with suppliers,scheduling maintenance visits and assuring all office needs and requirements.
* Managing, maintaining and improving, supervised, company filing procedures.
* Assisting in inventories and archives updates.
C- Interaction:
All tasks are under supervision from the Assistant General Manager who is the process owner for all above activities. Interacting with all levels of personnel to provide full administrative and secretarial support.
D- Equipment:
Computer and other related office equipment: printer, binding machine, labeling machine, telephone .
E- Workplace Conditions:
Work takes place in a normal office environment (reception area) and might involve frequent interruptions.

A- Gender & Age:
Male / 23 years old
B- Education: General Accounting - Business Management - BT degree is a minimum
C- Experience: 3 Months required
D- Knowledge: Good knowledge of customer care and.

Good Knowledge of computer use.
The ability to operate standard office equipment

Need to be methodical, patient, careful and accurate

might require heavy lifting, extended hours operating a computer, movement around office and building premises, electric room, generator, parking, and other as they may arise.
