    Job Description

    Job Purpose:

    To carry out the administrative tasks necessary to ensure the smooth running of the Office of QCRC

    Key Result Areas:

     Plan, prioritise and undertake the diversified duties in a professional and timely manner.
     Provide good communication with colleagues, guests, QF departments, international institutions and organisations, and visiting scientists in person, by telephone and in writing.
     Serves as the primary point of direct administrative contact and liaison with other offices, individuals, and centers within QF as well as international institutions and organisations.
     Manage the local calendar for the Director, colleagues and scientists including; scheduling meetings, booking rooms, and arranging for refreshments.
     Organise and support local and international meetings, conferences and other special events as required
     Make local and international travel arrangements, and book accommodation as required.
     Draft selected routine and non-routine correspondence and reports
     Carry out secretarial/ clerical duties of filing, scheduling appointments and assisting Office visitors.
     Extend English/ Arabic typing as well as formatting assistance to the department for preparation of confidential reports and correspondence.
     Open, sort, date stamp and distribute incoming and outgoing mail and other correspondence.
     Photocopy, fax and distribute materials as required.
     Maintain an inventory of stationery and office supplies.
     Take and prepares minutes and maintains records for various attendees.

    Skills

     Excellent oral and written communication skills
     Languages; English essential, Arabic desirable
     Strong organisational and time management skills
     Experience of working in a similar role within QF is desirable
     Good interpersonal skills
     Minimum of five years similar administrative experience reporting to senior managers
     Proficient with MS office applications
     Excellent attention to detail
     Must be educated to High School Diploma or above
