Job Description
Job Purpose:
To carry out the administrative tasks necessary to ensure the smooth running of the Office of QCRC
Key Result Areas:
Plan, prioritise and undertake the diversified duties in a professional and timely manner.
Provide good communication with colleagues, guests, QF departments, international institutions and organisations, and visiting scientists in person, by telephone and in writing.
Serves as the primary point of direct administrative contact and liaison with other offices, individuals, and centers within QF as well as international institutions and organisations.
Manage the local calendar for the Director, colleagues and scientists including; scheduling meetings, booking rooms, and arranging for refreshments.
Organise and support local and international meetings, conferences and other special events as required
Make local and international travel arrangements, and book accommodation as required.
Draft selected routine and non-routine correspondence and reports
Carry out secretarial/ clerical duties of filing, scheduling appointments and assisting Office visitors.
Extend English/ Arabic typing as well as formatting assistance to the department for preparation of confidential reports and correspondence.
Open, sort, date stamp and distribute incoming and outgoing mail and other correspondence.
Photocopy, fax and distribute materials as required.
Maintain an inventory of stationery and office supplies.
Take and prepares minutes and maintains records for various attendees.
Skills
Excellent oral and written communication skills
Languages; English essential, Arabic desirable
Strong organisational and time management skills
Experience of working in a similar role within QF is desirable
Good interpersonal skills
Minimum of five years similar administrative experience reporting to senior managers
Proficient with MS office applications
Excellent attention to detail
Must be educated to High School Diploma or above
