Job Description
To provide high-level administrative support to the Jordan office and to ensure the office runs smoothly at all times.
Main Duties & Responsibilities
FINANCE
- Prepare monthly cashflow for the Jordan office and actively manage the cashflow by regularly checking the bank account
- Check invoices and prepare payments, both by bank transfer and cheque
- Manage petty cash
- Prepare gross payroll, liaise with the accountant with regards to social security & tax deductions
- Prepare payslips using Excel
- Work with Finance Assistant in London to prepare annual budget for the Jordan office
OPERATIONAL/GENERAL
- Ensure office supplies remain stocked at all times
- Proactive management of suppliers, including renewal of contracts, review of services offered.
- Oversee the cleaner, ensuring she is carrying out her duties to a satisfactory level
- Ensure company processes are being followed
- Maintain filing systems
- Arranging travel for employees as required
- Arrange staff events
OPERATIONAL/HR
Assist Office Administrator where necessary with the following tasks:
- Recruitment : reviewing applications, initial contact with candidates to assess English language skills, scheduling interviews
- Preparing contracts for employees
- Staff inductions
- HR administration
- Co-ordinate the employee appraisal process
Skills
REQUIREMENTS
- Previous office management experience.
- Strong command of the English language, both written and spoken
- Good communication skills
- Good knowledge of Excel and other Office programs
- Knowledge of bookkeeping would be beneficial
PERSONAL QUALITIES
