    Job Description

    SUMMARY
    Responsibility for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner

    ESSENTIAL DUTIES AND RESPONSIBILITIES
     Receive, direct and relay telephone messages and fax messages
     Handle incoming calls for managing director and redirect them accordingly
     Manage incoming and outgoing mail and courier packages
     Provide administrative support to the managing director
     Manage the managing director’s calendar, travel schedules and expense claims
     Maintain the integrity of company’s sensitive information
     Direct the general public to the appropriate staff member
     Maintain the general filing system and file all correspondence
     Assist in the planning and preparation of meetings, conferences and conference telephone calls
     Maintain an adequate inventory of office supplies
     Respond to public inquiries
     Provide word-processing and secretarial support
     Type confidential documents on a word processing system

    Skills

     A bachelor’s degree holder with 3-4 years experience as office secretary or equivalent experience
     Professional team player with excellent communication skills
     Ability to speak well and possesses good phone etiquettes
     Well-developed interpersonal skills
     Ability to work under minimum supervision
     Good with numbers and meticulous with details
     Computer skills including the ability to operate word processing programs at proficient level
     Be respectful, flexible, honest and trustworthy
     Possess cultural awareness and sensitivity
     Demonstrate sound work ethics
