Job Description
SUMMARY
Responsibility for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receive, direct and relay telephone messages and fax messages
Handle incoming calls for managing director and redirect them accordingly
Manage incoming and outgoing mail and courier packages
Provide administrative support to the managing director
Manage the managing director’s calendar, travel schedules and expense claims
Maintain the integrity of company’s sensitive information
Direct the general public to the appropriate staff member
Maintain the general filing system and file all correspondence
Assist in the planning and preparation of meetings, conferences and conference telephone calls
Maintain an adequate inventory of office supplies
Respond to public inquiries
Provide word-processing and secretarial support
Type confidential documents on a word processing system
Skills
A bachelor’s degree holder with 3-4 years experience as office secretary or equivalent experience
Professional team player with excellent communication skills
Ability to speak well and possesses good phone etiquettes
Well-developed interpersonal skills
Ability to work under minimum supervision
Good with numbers and meticulous with details
Computer skills including the ability to operate word processing programs at proficient level
Be respectful, flexible, honest and trustworthy
Possess cultural awareness and sensitivity
Demonstrate sound work ethics
