    Our client, a reputable company in their field is currently seeking to recruit a Professional Secretary You will be joining a small team of relatively new Financial Services Co operating under Reputable Local Group umbrella<B<PURPOSE OF THE Position The Professional Secretary (PS) is responsible for providing secretarial, clerical and administrative support in order to ensure that the company (a DFSA category (3)company) business is carried on in an effective and efficient manner.You must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.Scope The PS reports to the CEO remotely (Skype other software) and face to face.The PS reports to the FO face to face on a daily basis.Responsibilities Provide office support services in order to ensure efficiency and effectiveness within the Company Main Activities Receive, direct and relay telephone calls,messages and fax messages promptly Direct and assists visitors when appropriate Maintain the general filing system and file all correspondence through our Cloud based System Assist in the planning and preparation of meetings, conferences Communicate and handle incoming and outgoing electronic communications (e.g. emails, tasks, to-dos, appointments) through our Cloud based system Communicate and handle incoming and outgoing electronic communications on behalf of the executives if necessary Assists in the preparation of presentation materials Maintain an adequate inventory of office supplies and maintenance schedules and followups through existing or new contracts and communicating with IT service providers Respond to public inquiries Provide word-processing and secretarial support Type confidential documents on a word processing system Assist and provide administrative services to the CEO and FO as requested Implement and maintain office systems Maintain schedules and calendars Communicate verbally and in writing to answer inquiries and provide information Handle incoming mail and send mails to designated personnel Maintain knowledge base software and systems
