    Secretary Cum Accounts Assistant

    Job Description

    Perform secretarial and administrative duties for a senior management position in one of the auto department

    Attend to telephone calls and all routine correspondence

    Maintain data in a logical and retrievable manner and arrange all ‘in’ and ‘out’ correspondence for the department
    Receive visitors for Group Managers and personal mail / couriers

    Update staff lists of all shops of the respective department periodically for ease of communication

    Ensures company circulars are distributed promptly to all outlets and displayed

    Maintain adequate stock of stationary and order extra stock when required with external suppliers

    Arrange all internal and external meetings ensuring coordination with concerned parties

    Write emails and letters for and on behalf of the manager at his/her request

    Receive and make calls for all assigned matters concerning the secretary’s manager and update him/her accordingly

    Ensure weekly reports and month end reports are arranged for and sent to designated recipients

    Compile, prepare and distribute reports such as daily Stock & Sales report, cumulative sales report to manufacturers etc.

    Distribute all financial reports and price lists of vehicles to designated personnel

    Retain records/copies of bank guarantees issued and coordinate for extensions of the same, if needed

    Prepare Local Purchase Order (LPO) for the respective division and coordinate processing and payments with Finance & Accounts department

    Prepare payment for foreign vendors by coordinating with Al Mulla Exchange

    Summarize LPO details every month for MIS report preparation

    Coordinate return of passport and ‘return to work’ status to personnel department to activate attendance for employees on leave

    Arrange travel, accommodation and transport for new recruits

    Arrange and coordinate insurance for all sales promotions

    Arrange air tickets for employees who are eligible for as per employment contract

    Coordinate for any repair/maintenance work at the showrooms

    Comply with Quality Standards and Health & Safety procedures affecting self and others

    Perform routine activities in accordance with agreed deadlines and standards and discharge any other task assigned by superiors in a timely and effective manner

    Assist colleagues and foster an environment of teamwork and collaboration

    Contribute to the department’s development by providing timely suggestions and feedback.

    Make requisite attempts to handle customer complaints in a prompt and effective manner and as per company policies and practices and

    Skills

    Bachelor Degree (12th Standard + 3 year degree), preferably in commerce and 3 years of experience in secretarial / accounts clerk role

    Or

    Pre-Degree (12th Standard or equivalent) and 5 years of accounting experience

    Candidates with familiarity Quality Management Systems and holding Internal Quality Auditors Certificate will be preferred

    Excellent communication and MS Office Skills
