Administrative Assistant -Faculty - University Of Calgary

The Administrative Assistant works under the direction of assigned faculty members and reports to a faculty member designated by the Associate Dean (Academic). The incumbent will provide a high level of customer service to faculty, staff, students and the general public.

The Administrative Assistant provides administrative/secretarial support to approximately 16 faculty members (as assigned) and has shared responsibility for the overall daily operations of the General Office. In addition, the incumbent may be responsible for assisting the Dean.

Responsibilities include but are not limited to:
•Provides secretarial support to professors and instructors within the Faculty including answering general correspondence and preparing research and/or course materials. •Acts as recording secretary for committee meetings in which assigned professors have responsibility. This includes organizing meetings, preparing agendas, recording and transcribing minutes, distributing minutes, maintaining confidential records and files. Follow-up on any matters arising from the minutes as required.
•Other general office duties include but are not limited to: photocopying, filing, faxing, arranging courier services, room bookings, distribution, parking pass distribution, etc.
•Provides back-up coverage to the Executive Officers and Dean's Office as required.
•Ensures back-up support to other administrative office staff during absences or peak periods.

Detailed Description

 Scan rare manuscripts, books, maps, newspapers, magazines, photos and microfilms using specialized Scanners as per standards defined by the library.
 Performs image processing on the scanned images such as Colour curve correction, Resolution setting, Image compression settings, image format setting, deskewing, noise removal, etc.
 Visually check the quality of the digitized images by inspecting the colour accuracy, cropping, skewing, toning, legibility, rotation, file format, resolution, sequence and completeness of pages, contrast, brightness etc.
 Perform Optical Character Recognition over the digital images, proofread the OCR output to check the accuracy of the OCR output, correct OCR and create fonts if required.
 Calibrates the scanners and monitors periodically using project predefined techniques.
 Create Structural metadata for digitized items. To assist with other digitization projects and other tasks as assigned
 Handle digitizing items with utmost care to prevent damage during digitization.
 Keep abreast of developments, trends and issues in areas of responsibility
 Participate in team work and committees as needed
 Perform miscellaneous duties and conduct special projects as assigned
 Familiarize, understand and implement QF health, safety, and environment policy, procedures, legal regulations and objectives applicable to areas of responsibility.

The position will participate in implementing the Qatar Reference Service by providing reference and reader’s advisory services. The position will be responsible for collection management for History and Philosophy. As well, the position will provide information literacy and learning opportunities through the development of innovative content and promotional activities for researchers, the education community (advanced education and K-12) and the general public. Regularly scheduled evening and weekend work will be required.

Detailed Description

 Participates in the activities of the assigned Information Services team lead by a Senior Information Services Librarian to effectively provide reference and reader’s advisory, collection management, literacy and learning opportunities in the subject disciplines of History and Philosophy.
 Provide reference and reader’s advisory services in the Qatar Reference Service through regular shifts in the Learning Commons, by eReference, and through individual office consultations.
 Provide information literacy and learning opportunities to researchers, educators and the general public.
 Develop the library collection in assigned subject areas by searching for, identifying, evaluating and selecting relevant resources in all formats through the application of standard library collection development methodologies in conjunction with the Collection Development policy and library procedures.
 Develop print and virtual resources to support teaching and learning activities and for self-directed learning opportunities.

 Maintain regular interaction with faculty, researchers, students and the general public to determine user needs.
