From initiation onwards time management is top priority in consideration of Cost and quality. Most of the time rework and quality complained delay the work.Communication between team should be transparent and efficient. Better to spend maximum work in the beginning and middle of the project rather than at the end fast track work.

Focus. monitor and control on the project baselines ((Scope, Time, Cost & WBS) through SPI & CPI ratios at all stages of project execution. Bar Charts have to be referred most frequently and Milestones should be achieved as planned. In case of deviation, expedite corrective actionsand changes as may be required.

In order to manage project deadlines efficiently, you must do the proper planning, and focus on the 3 main constrains to any project which are: scope, time and cost.

 

In addition to that a proper project time plan must be accompanied with very accurate breakdown for the project tasks with the Start/End dates; milestones; resources and risk assessment for each task with the risk mitigation action for each task.

You may choose to make the task into pieces to make parallel activities, deploy manpower accordingly along with other infrastructure like additional tools tackles. This will definitely results in achieving targeted dead lines efficiently when delay is predected.

Plan the project -

The project manager needs to make a detailed project plan that has the project objective broken down into actionable tasks. The plan should list all tasks with start date, end date, milestones and the resources responsible for the tasks.

The estimated time for the tasks has to be realistic with some slack built in the overall timeline so that the team will have time to solve unexpected issues. The project manager should know the lead time and lag time of tasks so that they can focus on deadlines of tasks that need to be done at that time. All team members should be able to view it so that they are aware of their tasks, dependent tasks and the deadlines. This will help the project manager to understand delays and other issues.

Communication -

The project manager is responsible to keep everyone in the project informed about project details. The project manager should be direct and transparent in communicating project related matters. The project manager needs to inform the team about their tasks well ahead in time so that the team can plan, prepare and do the work assigned to them.

The project manager can set up reminders for due dates in the official email of team members so that all are aware of their tasks and deadlines. At the same time the project manager has to be a good listener and understand suggestions, solutions, concerns, issues and feedback given by team members. He/She should understand verbal and non-verbal cues. The project manager should also ensure that team members communicate with each other and they communicate about the status of the task, progress, and issues to the project manager. 

 Right people for right tasks –

To achieve the project objectives, a variety of tasks are to be done. Different tasks need different skills and aptitude. It is important to assign the right person for the right job at the right time; else the person may not complete the task properly. For example, if an experienced Business Analyst is asked to test UI elements in a complex process oriented project, he/she might not be too happy doing it and feel demotivated. The project manager has to understand team members and assign appropriate tasks to each of them.

Most of the answers are well suited for a project which follows a traditional Waterfall Model. However, do the same rules apply for a project which is managed in an Agile manner wherein ongoing changes in the project constitute around%?

Certainly Time, Cost and Quality are the main attributes of the project. Along with them,  the PM should also understand if the requirements are well understood by the team. It simply means that a PM should be able to visualize in depth regarding the understanding levels of his team. 

 

If you understand your team. their understanding levels and their psychological levels then managing deadlines and deliverables become more easy.

In my opinion, a detailed preparation before the project should help in avoiding the avoidable delays - ensure that everyone is involved, especially ensure that the senior management is involved at all stages, especially the planning stage, to crystallize the project deliverable requirements and continued management support. Similarly also involve the other key performers at the planning stage. This simple step itself helps to:

(a) ensures that everyone working on the project knows about the larger objective and the impact of their timely and detailed efforts;

(b) convey the timelines and expectations to all such stakeholder exactly and precisely;

(c) effective communication between the stakeholders to plan a complex and highly accurate implementation, more easier corrective action and most importantly accurate budget allocations.

Irrespective of that, if there are lessons to be learnt and implemented, I would prefer them to be based on the cultural and indigenous aspects of the local life- the solution to problems I feel should always be glo-cal (global yet local) in nature.
