Our client, an Oil and Gas company, is looking for High Profile, Western Educated Personal Assistant to the CEO to be based on Ras Al Khaima . Reporting to the CEO, the role is responsible for ensuring that the CEOs office is managed well by gate-keeping communications, organization and management of his diary and assisting with tasks as needed. Key responsibilities Runs the CEOs office on his behalf in his absence. Attends meetings with the CEO during and after office hours (when required). Records minutes. Compiles, transcribes, distributes minutes of meetings and prompt follow up on the action points. Corresponds on behalf of the CEO as and when required. Diary management Managing CEOs diary and Scheduling meetings on priority basis. Passing on the less important meetings to be handled by the other members of the senior management. Meeting arrangements Prepare agendas and make arrangements for the CEO, committee, board, and other meetings. Travel management Make travel arrangements for CEO and other executives, from flight schedules and bookings to hotel accommodations and rental cars. Conduct research, compile data, and prepare papers for consideration and presentation by CEO. Personal support. Tasks may include works for family members, reminding the CEO of family engagements, scheduling doctor visits, doing some personal shopping for the CEO, etc. Gate-keeping Screens phone calls, filters unwanted calls mails and prioritizes replies. Drafts memos and circulars and other official communications issued by the Managements office. Performs general office duties such as ordering supplies, maintaining records management systems, and performing basic book-keeping work for the CEOs office. Database management Updates the CEOs database regularly.
Compétences
Criteria and skills Female Degree holder 5 years experience supporting an Executive, preferably within Oil and Gas Sector Excellent communication skills in English Strong, well-presented, pleasing personality, rational with great work ethics Dedicated and sincere with s great track record Ability to apply analytical and logical skills during travel planning, etc Support and entertain guests during and after office hours Versatile in MS word, Excel and PowerPoint Availability on call 24 x 7 Arabic will be an advantage
