   • Façade cladding, glazing systems and architectural aluminum products


   • Precast concrete products and architectural elements


Job Purpose

The Document Controller plays a vital role in ensuring the efficient management and organization of documents within the organization. They are responsible for overseeing the creation, distribution, storage, retrieval, and disposal of documents to ensure accuracy, compliance, and accessibility. The Document Controller works closely with various departments to facilitate document workflows and maintain proper documentation procedures.




Key Accountability Areas
  • Document Management:
    • Establish and maintain document control procedures to ensure the consistent management of documents throughout the organization.
    • Organize, categorize, and store documents in electronic and/or physical filing systems.
    • Ensure all documents are accurately named, indexed, and archived for easy retrieval.
    • Implement version control procedures to manage document revisions and updates.
  • Document Distribution and Access:
    • Coordinate the distribution of documents to relevant stakeholders, ensuring timely delivery and receipt.
    • Control access to sensitive or confidential documents by implementing appropriate security measures.
    • Provide training and guidance to staff on document control processes and systems.
  • Quality Assurance and Compliance:
    • Perform regular audits of document control processes to ensure compliance with regulatory requirements and industry standards.
    • Verify the accuracy and completeness of documents before distribution.
    • Collaborate with internal teams to ensure documentation aligns with quality management systems and project requirements.
  • Communication and Collaboration:
    • Act as a liaison between different departments to facilitate the flow of information and documentation.
    • Collaborate with project managers, engineers, and other stakeholders to ensure document requirements are met throughout project lifecycles.
    • Communicate effectively with internal and external stakeholders regarding document status, updates, and changes.
  • Continuous Improvement:
    • Identify opportunities for process improvement and efficiency gains within document management systems.
    • Recommend and implement software tools or technologies to enhance document control processes.
    • Stay updated on industry best practices and emerging trends in document management.


Role Accountability
  • Bachelor's degree in a relevant field such as Information Management, Business Administration, or a related discipline.
  • Proven experience as a document controller or in a similar role, preferably in industries such as engineering, construction, or manufacturing.
  • Strong organizational skills with keen attention to detail.
  • Proficiency in document management software and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Familiarity with regulatory requirements and standards related to document control.
  • Certification in document control or records management is a plus.
