How do you make sure that colleagues can find information or files if you are not around?

first you have to put it in your mind that your absence doesn't  affect the daily running of the company,you have to be with proper good keeping and recording where by all your files are clearly indicated on top for easy identification by your colleagues  just in case you ea not around.
