About Four Seasons Istanbul Private Residences


The Four Seasons Private Residences are situated right where the districts of Ulus, Etiler and Levent converge, at the heart of a location which pulses with life and culture.


History and future, contemporary and traditional civilization, and art and pop culture all come together in one place, as the region showcases the city’s most upscale shopping districts, renowned culinary destinations, and dynamic entertainment options. The Etiler neighbourhood of the Besiktas district, is one of the most prestigious and exclusive residential area of Istanbul, on the European side of the Bosphorus.


The property will be spread over multiple low-rise buildings, consisting of 82 apartments, in the range from 3-6 bedrooms.  Operated by Four Seasons, the homeowners experience best in class amenities including a Bar-Lounge Area, Meeting Room, Kid’s Playroom, Golf Simulator, Cinema, Pool, and Fitness/Spa facilities.


As part of the residence team in a Four Seasons standalone residential property, you will have a unique opportunity to continue to define and establish the operating model for standalone Four Seasons Private Residences.

Assistant Director of Engineering  


The Assistant Director of Engineering forms part of the Residential team who collectively make key strategic and operational decisions on the daily and planned maintenance activities at the property. The role oversees a team of in-house maintenance personnel and external service specialists, they are responsible for all engineering operations of the interior/exterior building envelope and facilities including plumbing systems, refrigeration systems, heating/cooling systems, painting, carpentry, building structure, recycling, electrical systems, exterior ground care, and parking areas. The Assistant Director of Engineering is also responsible for Life/Fire Safety Systems, Energy/Green initiatives, and management of other engineering work necessary to maintain the property in an efficient condition to ensure the safety and comfort of homeowners and employees.


POSITION OUTLINE:


KEY ACTIVITIES


Leadership :


Organizes and manages the department in accordance with company philosophy and policies, maximizing


efficiency and productivity and achieving established goals; promotes harmony between departments.


Displays warmth, care and genuine enthusiasm when dealing with residents and internal customers; models the Golden Rule.


Demonstrates standards awareness, by setting example for standards execution, standards testing and implementing action plans to achieve established product and service goals.


Mentors and provides on-the-job training to subordinates to strengthen their current performance and preparation for future advancement. Utilizes and administers People + Culture processes through coaching and counseling to improve performance or terminate employment.


Prepares annual plans and forecasts, consistently monitors and manages budgetary goals.


Maintains an organized administration of departmental and personnel records, including rostering and leave planning.


Ensures employees adhere to the code of conduct and grooming and hygiene standards as specified in the Employee Handbook.


Conducts daily briefing and monthly departmental meetings (with minutes copied to division head) and participates in meetings when invited.


Provides regular and fair performance feedback to employees, formally and informally as appropriate.


Is seen as a hands-on leader, assists employees in crunch times.


Maintains a clean and orderly work area and ensures tools and equipment are well maintained and in sufficient supply.


Attends meetings, training activities, courses and all other work-related activities as required.


Promotes and ensures a safe working environment.


Responsible for choosing the right kind of landscape maintenance contractor.


Make sure that trained and certificated pest control contractor would carry out proper hygiene service


Performs any additional duties as assigned.


Departmental:


Ensure property maintenance and Engineering matters, fire life & safety, energy conservation, environmental programs, budgeting and Capital expenditures, project development-planning and execution are following FS policies and procedures.


Assist in the hiring, training, supervision, scheduling, counselling, and evaluation of performance and planning the activities of maintenance staff including making random spot checks daily.


Ensure proper execution of work order/request system and that items are followed up on when necessary.


Preventive Maintenance:


  • Executes a preventive maintenance program for all hotel plant equipment in a cost effective manner, with minimum disruption to hotel operations, and maintains comprehensive electronic or manual records as necessary according to FS EPP guideline. 
  • Physically inspects all areas of the building envelope to ensure structural integrity and initiates further investigation or remedial action.  Plant/Mechanical rooms kept in clean, well maintained condition.
  • Analysis of the system and plan tackling the most urgent issues and ensure the long term heavy maintenance plans are developed, shared across the departments and implement the five year plan strategic objectives for the engineering division.

Perfect Room, Public Area/corridor and Outlets Program;


  • A full Perfect Room if applicable, Corridor and Outlets Program managed to ensure all areas are continually maintained with a minimum of one complete turn of property annually.
  • Comply with and enforce Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct as set forth in EmPact.
  • Implements Four Seasons' brand standards for the facility function. Reviews audit comments, discusses with subordinate management, and implements audit recommendations.
  • Ensure that meter readings are taken daily on heat, light and power and review information to evaluate consumption.
  • Actively support the Safety Committee.
  • Support the energy conservation program allowing the Residential and Master Associations to meet its annual budget targets.
  • Develop close working relations with outside contractors, engaging as needed for common space maintenance and resident requests.

Life Safety Systems/Administrative Systems;


  • Assists Residence manager to oversee the company safety management and risk management frameworks in the division and encourage proactive risk reporting, assessment, and mitigation in planning, primarily establishing and implements a preventive maintenance system for all Life Safety Systems. 
  • Ensures all systems are regularly tested (or as required by local legislation), certified by qualified personnel annually and ensures appropriate employee groups are trained on the operation of systems applicable to specific groups. 

Works in conjunction with safety team and Crisis Management Team to complete regular drills / evacuations.


  • Actively participates in hotels Chemical Safety / MSDS / HACCP programs. Ensures the building / property complies with all government codes and regulations and keeps all applicable licenses and certificates of operation current and up-to-date.
  • Assist with maintenance of all fire-fighting equipment and maintain a “state of readiness at all times” and ensure that emergency procedures are understood and practiced by in-house employee’s and external service vendors and contractors.
  • Partner with Residence Manager, and Operations team to establish the necessary procedures and standards, improve operational efficiencies, implement conservation measures, reduce utility cost, and track progress against engineering and ESG established goals.
  • Maintain asset registry for all equipment.
  • Review Residence asset reserve studies and coordinate compliance.
  • Review property operation and maintenance documentation, records, permits, and drawings for compliance with the Four Seasons Engineering policies and procedures, local building codes, contingency plans, and local environmental regulations.
  • Ensure the residence is following environmental laws, including any local or national Building Energy Disclosure requirements.
  • Create action plans for any items or issues that are not in compliance with the Engineering policies and procedures, FS policies and procedures, local codes, and environmental regulations, and ESG corporate goals. Coordinate corrective measures with the Residence Manager and Property Ownership if necessary.
  • Develop, share, and implement Engineering best practices that drive operational efficiencies, reduce unnecessary maintenance, and labor costs, and improve asset value.
  • Reviews and approves the requisitions from the various workstations. Requires the items be requisitioned in correct quantities, within acceptable time limits and in accordance with established control procedures. Conducts workstation spot checks to ensure items are correctly stored and utilized to minimize waste. Execute parts ordering and planned maintenance through the HotSoS Preventive Maintenance System.
  • Ensure that properties and engineering policies and SOPs meet the established standards set by the FS. Duties include maintaining strong overall quality control of engineering best practices made by FS adhering to reliability, performance that leads to enhance tenant experience.

Experience with operation of Building Management System.

Possess good computer skills including ease in working with Microsoft Office, Bluebeam and/or Adobe Acrobat software.


Ability to coordinate and cross-reference design drawings from multiple disciplines.


Experience with operation and maintenance of a Computer Maintenance Management System (CMMS).


Experience with Building Monitoring Systems and its operation.


Experience with Tenant Control Systems and the sequence of operation.
