Required Competencies:-


  • University Graduate
  • Fluency in English and Turkish languages, verbal and written
  • Experience in Office Admin/Office Manager role or related field
  • Team oriented person: as expected the job requires adopting to working with different team members and departments in an international environment
  • Very organized and pays attention to details
  • Proficiency in MS Office
  • Good in time management
  • Ready to learn new things and quick to adopt to changes in the company
  • Driver's license (B category)

Responsibilities


  • Organize and maintain office space and equipment such as monitors, computers, phones, docking stations, headsets, and all peripherals  as well as assist the team in ways that optimize procedures
  • Provide office Support to all departments and individual employees who are stationed abroad or overseas in other IB Offices
  • Monitors public and religious holidays as well as other non-working days then coordinates with other internal stakeholders for announcement to the team in the office
  • Monitors expiry of Trade/Commercial Licenses/Commercial registration  
  • Maintain communication with building facility management about safety of the unit and employees, fire drills and any other maintenance work or disruption of common areas of the building
  • Monitors expiry of health insurance and coordinates with internal and external stakeholders regarding renewals
  • Create and update records ensuring accuracy and validity of information and maintain high level confidentiality of all  company info and records pf employees that are within the custody or reach of the office manager/support.
  • Monitor level of supplies and handle shortages
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Manages postages and shipments both outgoing and incoming
  • Manages company cars, payments for rented cars and monthly instalments hire purchase,  servicing, insurance renewals, road taxes and all other aspects relating to a proper functioning of the company car.
