The Document controller’s primary responsibilities
are 1) Document and record maintenance and control and 2) Data assimilation and
analytics which assists in providing MIS information for Senior Management
overview
1.Assist in document management and build and maintain a repository
of documents important from owners’ perspective.
2.Prepared Weekly Defects & Deficiency Report with Week-on-Week
vessel wise trends
3.Prepare weekly OPEX estimates by combining data from Managers’
systems and Power BI to monitor vessel wise budget & utilization for the Technical
Teams
4.Prepare Monthly Dashboard for MIS, including
a.Monthly Vessel Report submission
b.Fleet Next Special survey,
c.Status & Review by Superintendent,
d.VIR Record,
e.SIR Record,
f.Record of Internal Audit of Vessels,
g.PSC Inspection Dates,
h.PMS Overdue Record,
i.SIRE & CDI Record,
j.COC, Flag dispensation,
k.Engine Performance and
l.Lube Oil Consumption monitoring
5.Prepare Running Cost data with analytics to enable Technical &
Crewing Team to understand how the actual expenditure compares with the Budget
estimates and have drilled down information up to each vessel and account head
level.
6.Assist in collation and analysis of the Off-hire statistics and
present a management overview
7.Maintain DD reports, expense records,
8.Generate
monthly Vessel wise KPI data of the Fleet for monthly presentation to
Management
9.Supported
the Annual Budgeting Exercise by combining Vessel wise Budgets and enabling
Analytics & views for Owner wise, Sister vessel wise, Age of vessel wise
comparison
