Job Description

Registration Specialist


Classification: Professional/Technical


Reports to: Registrar


Job Purpose: Reporting to the College Registrar, the incumbent will perform a variety of clerical, administrative support and technical activities for theRegistration Services department. The Specialist serves as appoint of first contact and an information resource to students and the community regarding all records policies, requirements and procedures and produces all ID cards for students.


Duties:


  1. Serve as member of the Registrar's staff, providing quality service and support to students and the community
  1. Serve students, faculty and staff seeking assistance with registration issues, participate in registration activities, input and maintain data and information, answer phone and in-person inquiries
  1. Provide information and assistance in person and over the phone to students, staff and the public related to college functions, procedures and policies
  1. Provide advanced troubleshooting and assistance to students, staff and faculty regarding student registration and records issues; be the first line of assistance to other staff to resolve student registration and records issues
  1. Review and certify transcripts and permanent record cards for accuracy, grade changes, repeats and credits; interpret admissions and records policies, such as course repetition, incompletes, applications, residency and registration, and apply them in a variety of procedural situations
  1. Interpret, advise and/or assist students concerning graduation, course evaluations and equivalencies, Add/Drop forms, withdrawals, refunds, grade changes, incomplete grade forms, student data changes, student major changes, etc.
  1. Assist students and the public in understanding and applying information contained in the college catalog, schedule of classes, and other publications and/or news releases
  1. Distribute, receive, and crosscheck class rosters, final grades, and attendance forms
  1. Produce ID cards for students
  1. Ensure accurate and timely maintenance of student records; accurately attach metadata and archive records in document management system 
  1. Distribute, receive, review and process census and drop lists from faculty
  1. Maintain security and confidentiality of student educational records as mandated by college policies and procedures
  1. Alternate schedule, evening and weekend work required
  1. Other duties as assigned

Skills:


  1. Must possess skills to be able to explain and demonstrate the essential functions of the position
  1. Ability to communicate ideas and information clearly and effectively at all levels within the College in English; must possess effective presentation skills; bilingual in Arabic a plus
  1. Must possess analytical and problem-solving skills
  1. Must have ability to organize tasks and work independently, completing job duties, projects, and assignments on time and with only general supervision; manage a number of tasks at once
  1. Demonstrated ability to maintain confidentiality and composure working in a fast-paced environment with multiple demands
  1. Must possess a high level of interpersonal skills; ability to interact appropriately with a wide variety of personality types particularly in relating to college -age students
  1. Must possess de-escalation skills and tactics
  1. Demonstrated ability to use sound judgment in decision-making and problem solving
  1. Must be capable of maintaining confidentiality of work related information and materials
  1. Demonstrated ability to work with faculty, staff and administrators
  1. Demonstrated competency and experiences in the application and implementation of technology in a college environment
  1. Demonstrated proficiency in the use of standard software applications
  1. Ability to work alternative schedule, and/or work evening and weekends as required

Experience and Education:


  1. Bachelor's Degree from a regionally accredited institution required
  1. Demonstrated experiences using computer skills; proficient in Microsoft Word, Excel and database management
  1. At least two years of experience in an office environment, preferably in higher education
  1. Experience in database management; SIS experiences preferred
  1. Bilingual in English and Arabic preferred
  1. Demonstrated experiences interacting with multiple constituents; demonstrated flexibility, pleasant demeanor and ability to deal with changing and multiple priorities, frequent interruptions and a wide variety of personalities
