Job Description

Job Purpose

Responsible for overseeing and optimizing purchasingactivities by developing procurement strategies, negotiating contracts,managing supplier relationships, and ensuring cost-effectiveness.


Collaborates with various departments to meet theirprocurement needs while maintaining compliance with company policies andindustry regulations.


Perform duties in accordance with Malia Group policies andprocedures




Duties And Responsibilities

On Procurement Management & Planning


-Set the procurementdepartmental strategies and yearly business plan


-Develop and executestrategic sourcing plans to optimize costs and ensure a stable supply chain


-Analyze cost variations byprocured item and report any deviation to Site Manager & Group ProcurementAuditor along with recommendations and corrective actions


-Conduct negotiations withsuppliers to secure favorable terms, pricing, and contract agreements


-Collaborate with internalstakeholders to understand and align on procurement requirements andspecifications


-Evaluate supplierperformance and implement improvements to enhance overall efficiency


-Manage relationships withkey suppliers and foster long-term partnerships to enhance collaboration


-Ensure incoming &outgoing shipment cost is optimized


-Ensure compliance withrelevant laws, regulations, and industry standards


-Develop and maintaineffective communication channels with cross-functional teams


-Ensure timely follow-up ondelivery and shipping date with supplier and update all concerned regarding anydelay


-Ensure timely coordinationwith the accounting department and Group Procurement Auditor to finalizepayment formalities


-Review and approve banktransfer orders, landed cost and all departmental POs


-Stay abreast of industrytrends, market conditions, and regulatory changes affecting the procurementprocess


On Stock Management


-Advise on strategicprocurement tactics aiming at enhancing stocks and procurement conditions


On Equipment & Machines Purchase


-Request when needed newplant equipment and machines from approved or new suppliers. Negotiate bestprices and issue PR/PO accordingly as per procurement process


-Handle equipment landedcost file upon items reception; Prepare relative cost vouchers according tofreight, clearing & insurance charges


On Development


-Lead on new packagingprojects and ensure an optimized and efficient selection process; Collaboratewith R&D team to ensure launching as per set timeline


On Reporting & Database Management


-Ensure that alldepartmental databases are updated in a timely and accurate manner (approvedsuppliers, terms and conditions, bank information, technical specifications ofproducts etc.)


-Submit trimestral reportsto management on cost variations and improvements; Suggest corrective actionsand solutions to enhance performance


-Ensure the timely update ofsuppliers' evaluation form and take immediate corrective measures when needed


-Actively lead on internaland external meetings whenever needed


On HR


-Contribute proactively withthe Talent Acquisition Team in filling vacancies timely. Design/update relatedJD and on-boarding programs and ensure their proper understanding &implementation. Ensure an optimized structure in line with business prioritiesand performance


-Provide direct reports withneeded resources/tools and guidance to fulfil their role properly and set theirtraining needs and development plan in coordination with L&DM. Celebrateachievements, highlight people with potential to offer them perspective forgrowth


-Set direct reports annualBusiness Goals and required competencies and conduct quarterly feedbacksessions to appraise their performance. Monitor continuously direct reportproductivity and take corrective actions in due time. Issue misconducts andenroll under-performers in related program


-Promote the Group'sculture, encourage loyalty, trust, a healthy working environment and teamwork.Personalize the motivational approach, empower and inspire the team to reachgreatness
