The purpose of the Maintenance Administrator is to support the Maintenance Supervisor in administrative tasks, reducing the administrative workload of the Maintenance Supervisor so that they can maximize the time spent on the field.
Maintenance Administrator tasks consist of ensuring the right quality of the jobs back reported by the technicians, ensuring the timely and correct maintenance of the technicians scheduling, ensuring the assignment of the maintenance profiles for any new or updated contracts, ensuring the correct technician workload balancing in every round, and helping the supervisors in the others administrative tasks.
Planned Maintenance Responsibilities:
Responsible for identifying missing technical characteristics of equipment used in MBM profiles, and scheduling an inspection visit for technicians to collect this information.
Manage the assignment of technicians to equipment as determined by the supervisor.
Oversee the creation of maintenance visits according to the schedule, and ensure proper distribution to technicians (if no electronic dispatching is available).
Generate invoices for service contracts.
Prepare and submit statements to the customer portal.
Manage material orders and perform Goods Receipts in SAP.
Prepare contractual documents and submit them through the customer portal.
Callout Responsibilities:
Coordinate general planning for callouts (day/night/weekend/back-ups, etc.).
Monitor, check, and correct alignment of back-reported jobs between systems.
Handle administrative tasks related to callouts.
Ensure email notifications to customers are accurate, and resend them when needed.
Submit daily, weekly, and monthly progress reports to contractors.
Acquire work permits and close them as required in the contractor system.
Requirements:
Higher vocational diploma in a technical field.
Strong verbal and written communication skills in English.
Advanced proficiency in MS Office tools and applications.
User-level knowledge of SAP is required.
Understanding of contractual and financial aspects.
Basic technical understanding is an advantage.
