Job Responsibilities :
1.To prepare and manage correspondence, reports and documents.
2.To handle incoming mail and Faxes.
3.To answer and transfer calls to appropriate personnel.
4.To organize and coordinate meetings, travel arrangements.
5.To arrange and confirm appointments.
6.To set up and maintain filing systems.
7.To greet visitors and customers.
8.To direct visitors and customers to the appropriate personnel.
9.Compilation and maintaining of control records and related files.
10.To properly record and file all internal/external correspondence of the company
11.To properly record and file all internal/external correspondence from supplier/customers.
12. Examines documents, such as blueprints, drawings, work orders and specifications to verify completeness and accuracy of data
13.To prepare and update of all correspondence in soft copy
14.Develop and implement effective methods of documents recording and filing
15. To maintain proper archiving of obsolete documents as appropriate.
16. To attend company internal meetings and take minutes and further distribute accordingly.
- Minimum 5 years of experience in the secretarial role .
