1. Communication & Correspondence



  • Prepare and email letters to parents using ISAMs software
  • Draft, type, and dispatch reports, articles, letters, and School Newsletters
  • Check all school correspondence before sending to parents
  • Respond to parent queries via email, phone, and in person quickly and efficiently
  • Act as a central communication point between leadership, staff, parents, and external stakeholders
  • Support Parent Portal, Engage, and school communication systems

2. Administration & Office Management



  • Devise and maintain office systems, including data management and filing
  • Use appropriate IT resources
  • Provide executive administrative support for senior leadership
  • Undertake other duties commensurate with the post to ensure smooth school operations
  • Streamline processes to ensure efficient team performance
  • Maintain office supply inventories and operational resources

3. Student Records & Attendance



  • Maintain accurate student records, attendance data, and compliance documentation
  • Ensure all attendance reports are compiled daily
  • Manage and oversee student absence reporting, tracking, follow-up communications, and related administrative processes
  • Process all leaving requests
  • Ensure all reports are entered onto the school portal

4. Events & School Activities Coordination



  • Help coordinate event logistics, room set-ups, and resource allocation for internal and external events
  • Coordinate whole-school calendar events, deadlines, and administrative schedules
  • Assist with planning school events, open days, and parent functions
  • Responsible for all ECA set-ups
  • Coordinate and manage school photographer bookings, scheduling, communications, and logistics
  • Manage bookings and scheduling for meeting rooms, auditorium, and shared school spaces

5. Documentation & Reporting



  • Prepare letters, presentations, and reports
  • Compile all school reports and labels
  • Responsible for all mail merges

6. Procurement & External Liaison



  • Manage stationery orders, including whole-school main supply orders
  • Support procurement, purchase orders, and invoice coordination
  • Liaise with suppliers, contractors, and external service providers

7. Coordination & Stakeholder Support



  • Coordinate, distribute, and collate relevant documentation to and from homes and schools
  • Provide support to Heads, teachers, and parents as required
  • Carry out specific projects and research
  • Always observe a code of strictest confidentiality
