Role Purpose
We're seeking a passionate and results-oriented Business Support Lead to improve operational efficiency and support the Government Affairs departmental activities. The position holder will:
- Streamline workflows, manage procurement activities, and oversee project execution to ensure seamless daily business activities.
- Partner with the Operations Manager to develop and implement business processes that align with the department's strategic vision.
KEY ACCOUNTABILITIES & ACTIVITIES
Key Responsibilities
- Evaluating business processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions.
- Leading the procurement activities for Government Affairs in collaboration with the Procurement team.
- Building the Purchase Request, Tender Plan and other procurement-related matters for Government Affairs.
- Managing the SAP system for any new PRs, POs, Invoices, or any other related to procurement work.
- Engaging with finance lead to ensure budget alignment including updating on spending and monthly accruals.
- End-to-end follow with the PR from creation until awarding and managing the administration of the active contracts.
- Overseeing the planning and coordination of key special events for the Government Affairs department.
- Independently researching and prioritizing incoming issues and determining appropriate course of action, referral, and/or response.
- Reviewing and approving transactions for the department and advising senior management on appropriate disposition; provides key coordination and consultation with regards to recruitment.
- Staying up to date on the latest processes and IT advancements to automate and modernize systems.
- Undertaking project activities, including development of plans and preparing regular updates as requested by the senior management.
- Closely monitoring project deliverables, proactively identifying, and addressing potential roadblocks, and ensuring timely project completion.
- Gathering critical information from meetings with various stakeholders and producing reports.
- Working closely with clients, vendors, and managerial staff to deliver departmental objectives.
- Providing leadership, training, coaching, and guidance to junior staff as required.
- Developing efficient solutions that meet business needs and requirements.
- Acting as a bridge between stakeholders and Government Affairs, ensuring clear communication and collaboration to achieve project goals.
- Having the ability to effectively manage competing resources and prioritize tasks to maximize efficiency and meeting project deadlines.
BACKGROUND, SKILLS & QUALIFICATIONS
Knowledge Skills and Experience
- Five years’ experience in a similar role
- Ability to work with limited supervision
- Analytical and conceptual thinking skills to understand and apply research and statistics in report writing and decision-making.
- Ability to influence stakeholders and work closely with them to determine acceptable solutions.
- Organizational skills to manage records and data and meet deadlines.
- Advanced computer skills and experience with specific software and web-based systems, such as those used for personnel management, report writing and project management.
Qualifications
- Diploma or bachelor’s degree in business administration or another related field.
