New York University Abu Dhabi (NYUAD) seeks to appoint a Class Year Experience Coordinator.


The Class Year Experiences Coordinator is a member of Student Affairs, reporting to the Class Year Manager role. The position primarily supports the Senior Year and First Year Experience programs. The position is responsible for event programming and logistical support for Marhaba, First Year Dialogue/Weyak Program, Ma'a salama, and some commencement activities, along with other class year programming. In addition to providing administrative support, the person in this position will support the program development and execution of several first year programs throughout the first-year, as well as concluding senior year activities. This position coordinates the hiring and supports the supervision for 40+ student leaders in first-year programming, and also works closely with the Class Year Committees in the student government.


The role maintains the tracking budget and expenses for multiple budget chartfields and will also be responsible for gathering data for reporting purposes which will include preparing reports for both internal and external stakeholders. This person will additionally support other divisional functional areas including student activities.


Key Responsibilities:


Logistical Support


  • Coordination of mass email for the First & Senior year classes. Maintains a comprehensive calendar with first and senior year communications with information pertaining to the scope of communication, communication draft, concerned parties, and audience to centralize, synthesize, and streamline the communications
  • Drafts institutional on-boarding and off-boarding communications to first-year/senior-year students and coordinates the review and editing process with multiple stakeholders
  • Coordinates logistics for Marhaba, Ma'a Salama, First Year Dialogue, and other student initiatives
  • Collaborate with Student Life & Student Affairs staff and liaise with external vendors as needed
  • Coordinates onboarding of (e.g printing of 500+ first-year student IDs and SIM cards) in collaboration with Public Safety and IT
  • Maintains first-year student records and manages first-year parents and student lists for external mailings
  • Advising and meeting regularly with Class Year Representatives and their committees

Program Administration


  • Develops and maintains the schedule and guidelines for Marhaba and Ma’a salama
  • Works closely with Student Success and the Student Affairs Deans in advising first-year students on educational matters such as course and program selection, time-tables and scheduling, university adjustment, and study skills. And advising first-year students at risk of dropping out to aid their academic and non-academic to ensure first-year retention
  • Coordinates recruitment and supervision support for 40+ FYD and Marhaba leaders
  • Liaise and collaborate with multiple stakeholders across the University (e.g. Events, Vice Chancellor's Office, Campus Life, Public Affairs, Office for Undergraduate Academic Development, Academic Affairs, Arts Center, IT, Library, etc.) to develop and coordinate the orientation week for the incoming class
  • Coordinates with the Arts Center Marhaba sessions with panels and guest speakers as well as studentleaders’ performances
  • Liaise and collaborate with multiple stakeholders across the University to develop and coordinate the celebration week for the graduating class
  • Create website and student portal content that will be most relevant to first and senior year students and ensure it is updated regularly in preparation for onboarding
  • Monitors and responds to queries for multiple aliases. Responds to first-year student and parent inquiries regarding on-boarding. Responds to senior student and parent inquiries regarding Ma’assalama and Commencement
  • Collaborate with other departments to host programming for first-year and upper-class students
  • Supports other divisional functional areas including campus pulse, identity interest group support, and student space activation

Business Administration


  • Tracks expenses and manages payment processes for first/senior year programs and other student activities throughout the academic year
  • Supports SIG office hours and additional administrative tasks including functions for petty cash disbursement
  • Budget tracking - compare invoices with actual expenditures and resolve discrepancies with the budget office. Maintain expense and reimbursement records
  • Assessment

Other Divisional Duties


  • Serves on the emergency on-call rotation. Must reside within a 10-minute response time from NYUAD campus
  • Other duties as assigned

Required Education:


  • Bachelor's Degree in a related field 

Required Experience: 


  • Critical thinking & problem-solving skills, planning & organizing, conflict management, exceptional communication skills, knowledge of project management and business analysis techniques & tools
  • Strong knowledge of data development processes including integration design and data modeling
  • Proven ability to perform data analysis and synthesis
  • Excellent documentation capabilities (effective note taking, detailed requirements documents, articulate process flows, meaningful presentations, etc.)
  • Ability to manage and communicate with, a diverse set of stakeholders in both technical and non-technical environments
  • Effectively using interpersonal and communications skills including tact and diplomacy
  • Effectively using organizational and planning skills with attention to detail and follow through
  • Effectively multitask, as well as manage, lead, and delegate tasks and authority where needed
  • Maintaining confidentiality of work-related information, materials, and staff/student sensitive data
  • Strong leadership capability, executing as appropriate in the areas of responsibility
  • Excellent oral and written communication skills, including the ability to explain technology solutions in business terms, establish rapport and persuade others
  • Ability to work autonomously with little supervision
  • A demonstrated ability to Influence, provide strategic insight, communicate, lead others
  • Knowledge of a variety of current and emerging technologies related to NYU’s global needs
