Job description

Managing, organizing, tracking, and maintaining Fleet Management  drydock related documents and records in both electronic and hardcopy formats. The role ensures that all documents are properly controlled, updated, distributed, and archived in compliance with company procedures and regulatory requirements. Document Controllers support smooth communication, accurate record keeping, and efficient document retrieval across departments.



Responsibilities:
  • Maintain and control all incoming and outgoing documents, records, and correspondence.
  • Ensure documents are properly categorized, filed, archived, and easily retrievable.
  • Register, track, and update documents using document control systems or manual logs.
  • Distribute approved documents to relevant departments, personnel, and external parties.
  • Monitor document revisions and ensure only the latest approved versions are in circulation.
  • Maintain confidentiality and security of company records and sensitive information.
  • Prepare document transmittals, reports, logs, and status updates.
  • Coordinate with departments to ensure timely submission and approval of documents.
  • Archive obsolete or superseded documents according to company retention procedures.
  • Support audits, inspections, and compliance reviews by providing required documentation.
  • Assist in preparation of reports, presentations, and administrative documentation when required.
  • Ensure compliance with company policies, ISO standards, and regulatory requirements.
  • Maintain proper backup of electronic and hardcopy records.

Qualifications:
  • Diploma or Bachelor’s Degree in Business Administration, Management, or related field.
  • Minimum 2–5 years of experience in document control or administrative support.
  • Experience in offshore, marine, oil & gas, construction, or technical environments is preferred.
