Job Description

Job Purpose:

The Event Director (ED) will be responsible for conceptualising the event plan and once agreed with senior management its implementation. This includes the day-to-day project management of and the successful operational and profitable delivery the event.

 

Key Accountabilities:

Project Management , Marketing, Production, Operations

• Optimise operational processes, including the design and management of exhibition zones and conference theatres with the objective to create efficient, well-organised event spaces that enhance participant experience and meet brand guidelines.

• Partner with the Operations Team to plan teh events operations, including key deliverables such as venue booking and planning, traffic management, catering, tent structures, temporary staff, security, carpeting, transportation, stand construction, main event design (including signages, shell scheme, startup pods, conference stages, etc.).

• Lead the strategic development and execution of key projects including the AWARDS, Decarbonisation Guide, sustainability initiatives, Cross-Sector Collab, Annual Report, and Manufacturing and Industrialisation Exhibition and Conference.

• Collaborate with Department Heads and the Senior Vice President to ensure cohesive project execution and integration of cross-departmental efforts with the goal to enhance decision-making processes and operational efficiency through effective collaboration.

• Develop and deliver structured, analytical presentations to communicate project developments and milestones to both internal and external stakeholders effectively with the goal to provide clear, impactful communication that highlights progress and aligns with teh events vision.

• Drive initiatives such as the event's transition to a carbon neutral event and other sustainability-related projects with the goal to position the event as a leader in sustainable event management within the industry.

• Collaborate with heads of department and event leads to create an event plan, ensuring it aligns with the event vision and receives approval from the SVP of the event.

• Written Weekly reporting on all event-related elements to the SVP, in collaboration with Department Heads.

• Manage the budget vigilantly to control and reduce costs effectively.

• Develop and maintain a project management tracker, requiring cooperation with department heads for key milestones and project management planning.

Event Strategy

• Assist in creating a strategic plan and vision for the event (exhibition and conference), spanning from short to long term. This includes developing the event's themes, features, promotions, and identifying revenue-earning opportunities.

• Collaborate with department heads to develop a clear event plan, aligning with the overall event strategic plan approved by the SVP.

• Develop and oversee the event plan to ensure it remains consistent with the business vision.

• Oversee the entire event process, including preparing and developing event budgets, project management plans, critical paths, and maintaining budget controls.

Industry

• Establishing relationships throughout the industry and governments in order to ensure the vision of the events are relevant to the markets they serve.

• Developing, analysing and interpreting significant developments and/or trends in the energy industry and initiating changes when necessary.

People Management

 Develop strong relationships with Department Heads and other relevant functions to ensure that tasks are fully and timely executed, regardless of reporting lines.

Other

Qualifications and Experience:

• Minimum of 7 years of experience in management within Event or Project Management, or in an entrepreneurial setting.

• Proven ability to lead project teams, manage timelines and budgets, and ensure high-quality project outcomes.

• Proficient in risk management and mitigation.

• Capable of handling multiple projects simultaneously, with effective task prioritization.

• Strong understanding of marketing and communications principles.

• Commercially aware, with a solid background in budget management.

• Experienced in managing relationships with high-profile stakeholders.

• Skilled in networking and liaising with senior individuals, trade bodies, and associations from various cultural backgrounds.

• Demonstrated experience in organizing mid to large scale B2B exhibitions and conferences.

• Organized, able to perform well under pressure, and committed to meeting deadlines.

• Metrics-driven, demonstrating strong ownership and focus.

• Exceptional verbal and written communication skills.

• Advanced skills in MS Office, particularly Excel and PowerPoint.

• Familiarity with project management methodologies (e.g., Agile, PRINCE2, PMI) is desirable.

• Engaging, professional, and diplomatic with a superior capacity for both oral and written communication.

• Analytical and critical thinker, adept at simplifying complex concepts and recognizing patterns.

• Results-driven with a commitment to deadlines.

• Positive, proactive, and mature approach, with flexibility and a willingness to work independently or in a team.

• Competent in analyzing ideas from a commercial standpoint.

• Meticulous attention to detail.

• Creative and resourceful, with an innovative mindset.

• Flexibility in working hours, especially crucial during on-site event periods

• Experience working in international exhibitions / conferences.

• Knowledge and experience of Profit & Loss responsibility is needed.

• A high attention to detail.

• Excellent communication skills required as the post involves liaising with a range of professionals including major clients, sponsors, participants, sub-contractors, suppliers and in-house management.
