    Job Description

    The personal assistant provides high-quality support to the Regional Director and manages the smooth running of his affairs, by managing, organizing, scheduling and maintaining information in an efficient advanced filing.

    Key Responsibilities :


    -Organizes and manages the day-to-day running of the Director’s affairs to ensure the provision of high-quality support.

    -Advanced proficiency in all Microsoft Office™ applications, or similar office applications, to develop and prepare documents and presentations from drafts, with prompt, accurate, and professional-looking results

    -Manages, prioritizes, screens and monitors the Director’s correspondence, including calls, emails, post, and fax to ensure they are dealt with appropriately.

    -Collects and researches information on assigned matters.

    -Produces reports and statistical analyses as per the request of the Manager.

    -Close attention to detail in the preparation and review of documents.

    -Strong organizational skills, establish office systems and work accurately under pressure.

    -Ensures that documentation is correctly filed, maintains an efficient filing system.

    -Ensures that relevant information is gathered and prepared to brief the manager for meetings, trips, and events.

    -Manages the schedules to enhance effective time management and coordinates activities, prioritizes appointments and reschedules where necessary.

    -Works with internal and external contacts at all levels to fulfill the above duties.

    -The ability to complete urgent tasks efficiently and accurately, on short notice

    -Meets and greets visitors to the Director’s office as appropriate.

    Skills

    University degree holder with a minimum of 3 years professional experience in supporting Senior Managers in the UAE.

    Proficiency & Excellent in MS Office (Excel, Word, Outlook, PP) is essential

    Fluency in English and Arabic language is highly needed France skill is a plus.

    You should be able to handle different tasks at the same time and able to do your assignment with less supervision.

    You should be willing to work for longer hours if needed, even on weekends.

    You should be able to handle difficult situations professionally.


    Strong telephone manner and high degree of personal presentation when interacting with telephone inquiries and visitors.
