Professionally greet and receive guests and clients.
Coordinate arrangements, meetings, seminars and/or conferences as assigned within UAE and internationally.
Prepare agenda, reports, presentation, and correspond independently in an effective manner.
Monitor CEO & HOD's email and draft email responses, on behalf of the CEO & HOD.
Daily record keeping and filing documents.
Managing the CEO’s & HOD's busy Calendar including scheduling, meeting coordination sending reminders and prioritizing the most sensitive matters.
Manage travel arrangements for the CEO & HOD's which includes visa, flights, hotel, car and restaurant bookings, prepare itineraries.
Any ADHOC tasks required by CEO & HOD's – such as personal events and/or family/ guests needs, Screen and direct phone calls to CEO & HOD, purchasing gifts for clients
Requirements
Bachelor’s degree, in English Literature/ IT/ Management/Communication, from an accredited university will be preferred.
8+ years of hands-on Executive Assistant experience in the UAE is ESSENTIAL with thorough understanding of clerical and secretarial principles.
Excellent verbal and written communication skills in English (Minimum typing speed of 40 words per minute)
Methodical thinker with detailed research proficiency. Must be
a polite, organized, professional, team player. adaptable to various cultures,
and ability to work extended hours, if required.
Proficient
in Microsoft Office, Microsoft Teams and business communication software
Strong knowledge on trouble shooting IT issues.
Must be detail-oriented with fantastic organizational skills.
Must be able to work under pressure, should be able to
prioritize projects and meet deadlines
