Job Description
Human Resources Information System Administration
- Responsible for the monthly dashboard reports, gather information and provide analytical information.
- Responsible for putting the initial draft of the communications to all employees pertaining to all aspects related to employment updates, services, attendance and policies.
- Responsible to ensure all IT Change / service requests are raise on timely manners.
- Ensure accuracy of data related to the employment terms, like job title, Dept, section, reporting lines…etc.
- Prepare regular reports on employee relations metrics and trends for senior management, helping them make informed decisions.
Payroll Processing
- Contribute to the payroll operational transactions by ensuring all transactions related to employment status changes are reviewed and reflected in the system.
- Oversee the attendance management system and ensures monthly report is generated and shared with the business units, highlight the issues of attendance and advise on the right course of action.
- Calculating and processing employee salaries, wages, and benefits, including any deductions, bonuses, overtime, and taxes
- Inputting and maintaining employee information, including changes in personal details and direct deposit information.
- Processing new hire registration in GPSAA, setting up employees in the payroll system, and handling payroll-related tasks for terminated or exiting employees.
- Conducting periodic audits to ensure accuracy and compliance with payroll policies and regulations
- Keeping up to date with changes in payroll laws, regulations, and best practices to ensure the organization's payroll processes are in compliance
End of service benefits
- Perform quality check on EOS dues in terms of absence, any existing valid training bounds
- Manage employees end of service requests and ensure completing the requests as per the SLA
Employee Relation
- Conduct investigation and enquiry process to concerned employees involved in misconduct and recommend disciplinary action to be taken commensurate with the gravity of the misconduct.
- Manage Employment Contract on yearly basis and ensure contract renewal approvals are in place.
- Verify all medical leaves related to exceptional sick leave requests before submitting them to the Medical committee.
- Draft and review all decrees related to employees and cascade them with the respective units.
- Manage employee benefits and ensure adherence to GCAA guidelines for health insurance requirements and others
- Develop, update, and implement employee relations policies and procedures to ensure compliance with the federal laws.
- Handle complex employee relations issues, including disputes, conflicts, and grievances
- Conduct thorough and impartial investigations into allegations of misconduct, discrimination, harassment, or other violations of company policies
- Collect and analyse data related to employee relations issues to identify trends, areas of concern, and opportunities for improvement. Use this information to make data-driven recommendations
- Maintain accurate and confidential records of employee relations cases and investigations, ensuring data security and privacy.
MIS and Reports
- Ensure of timely and accurate departmental MIS statements and reports.
Reporting
- Ensure that all functional reports are prepared timely and accurately and meet GCAA requirements and quality standards.
Health, Safety and Environment within GCAA
- Ensure compliance with all relevant health, safety, quality and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high-quality products/services and a responsible environmental attitude as per IMS available standards
Other Tasks/ Accountability
- Perform additional tasks relevant to the role / area of expertise as requested by the management to be able to achieve the objectives/commitments.
