We are looking to hire an Office Manager with an analytical mind and fantastic organizational skills. You will be part of a team of professionals working in Svitzer to support business operations.
The office Manager will be responsible for the following:
Arrange regional visits and coordinate with AMEA's Office Manager/administrators, and local managers the following (Visa Preparations, required permits, flight details, transportation, and hotel reservations, and visit agenda).
Plan and organize company events and conferences.
Track the office expenses in accordance to the available weekly budget.
Ensure office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
Coordinate with maintenance companies to ensure the office appliances are in good working condition and monitor/order office supplies (stationery, food, and beverages).
Provide daily ad hoc assistance to the Country Manager/Deputy Country Manager.
Assign and monitor clerical, administrative, and secretarial responsibilities and tasks among office staff.
Manage and supervise the office representatives who receive orders from vendors or deliver documents to the bank/OGM by coordinating with the procurement and financial departments.
Supervise on the office cleaning staff regarding working hours, materials, quality control, and supplying food and beverages.
Respond to bank inquiries for verifying signatures, transactions in a timely manner.
Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
Prepare the required letters and update the database for issuing permits.
Send and receive documents and packages to/from SCA office.
Supervise on the storage unit to ensure that all the materials/equipment are well organized, in addition to designing and implementing filing systems, ensuring documents are well maintained and current.
Support HR in personnel related tasks (Medical & Life, social insurance, employee services, sick leaves and compensation requests.
