Job Description:
We are looking for a dedicated and efficient Admin Executive Front Desk to manage our front desk daily and to perform a variety of administrative and clerical tasks. As the first point of contact for our company, the ideal candidate will have a friendly and easygoing personality while also being very perceptive and disciplined. A customer-oriented approach is essential.
RequirementsResponsibilities:
- Guest Reception: Greet and welcome guests as soon as they arrive at the office, ensuring a positive first impression.
- Visitor Direction: Direct visitors to the appropriate person and office efficiently.
- Call Management: Answer, screen, and forward incoming phone calls while providing basic and accurate information when needed.
- Reception Area Maintenance: Ensure the reception area is tidy and presentable, stocked with all necessary stationery and material (e.g., pens, forms, and brochures).
- Mail Handling: Receive, sort, and distribute daily mail/deliveries promptly.
- Security and Access Control: Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Office Supplies Management: Order front office supplies and keep an inventory of stock to avoid running out of essential items.
- Financial Tasks: Prepare vouchers, keep updated records of office expenses and costs.
- Clerical Support: Perform other clerical receptionist duties such as filing, photocopying, transcribing, etc.
- Pantry Staff Management: Oversee the pantry staff to ensure cleanliness and stock of pantry supplies.
- Coordination: Coordinate with HR & Finance departments for day-to-day operations to ensure seamless business functioning.
