  • Entity Maintenance (EM) is part of Data and Analytics Office (DAO) is responsible for set-up and maintenance of Client Entity Reference data and client unique identifiers in ERDS (Entity Reference Data System) Golden Source system. This involves setting up, independently validating the client legal entity status, and maintaining up to date client information for the Global Banking & Commercial banking (CMB) line of business.
  • The function leverages globally consistent operating principles and a standard service proposition to deliver high-quality client data and its ongoing maintenance throughout the client life cycle with HSBC. The function operates globally as one integrated team with to provide service across the group.
  • The function supports the onboarding process by undertaking initial client entity legal verification and then subsequently setting up trading accounts and loading settlement instructions. The function is supported by a hub-spoke model, whereby teams undertake all the processing work for over 56 countries and onshore hub provides business relationship management and support. Given the nature of the data function maintains, the team is also supporting client data readiness for Global Standards, various regulatory demands impacting GBM business including client off boarding.

Role purpose


  • The Senior Data Analyst primarily supports the Connect pillar of the strategy and is critical for supporting the department strategy of ensuring client data is always fit for business consumption. The Entity team undertakes Legal Entity Verification, Input and Approval in ERDS Tool. It also actively participates in data readiness projects to support the group wide program. This covers all Global Banking, Global Markets, Commercial Banking Client (utilizing Global Markets Products), Prime Services (PS), Funds and Strategic clients across geographic locations.
  • The role is that of a Domain / Subject Matter Expert which will support the AVP / VP in driving process and department level agenda. The individual will need to work quite independently without day-to-day supervision, strong interpersonal skills and ensure that the team is aiming to improve data quality and building strong data capability within the team.

Governance and Committee Memberships 


  • Nil breaches on conduct, data, and Information Control policy within the process. Immediate escalation on control failures and issues identified, followed by timely DES submission.
  • Nil misses on regulatory reporting (BCAN, HKMA, EMIR, etc.).

Principal Accountabilities and Responsibilities


Key responsibilities include some of but not limited to:


  • Establish and maintain relationships with business units / managers for managing day-to-day business.
  • Periodic review of SLAs to match the changing dynamics of business.
  • Actively participate and engage stakeholders from all businesses such as GBM, CMB, KYCS, etc with regular business calls and ensure weekly / fortnightly progress updates are provided to all ahead of calls & all discussion points and circulated in a timely manner.
  • Manage expectations in line with business requirements and ensure deliverables are agreed based on prioritization matrix and internal approvals.
  • Clearly define the entity data maintenance service offering for full on-boarding and partial services.
  • Work collaboratively with Peer managers & maintain highly effective resource / people management techniques are implemented to ensure highest level of quality and productivity of team/s.
  • Maintain / Enhance business focused metrics to facilitate transparency.
  • Proactively identify opportunities for Reference Data table adoption & consumption, towards alignment of data policies and standardization.
  • Timely escalation and communication of any identified issues while on-boarding or maintaining data.
  • Capacity Management - Increase capacity to cater to higher volumes and/or superior service and improved quality in a reduced turnaround time.
  • Define current benchmarks to show case improvements.
  • Review / prepare weekly, monthly MI, PMI, adhoc reports / control decks and prepare action plans to mitigate or negate inherent risks / and enhance controls.
  • Ensure the team fully participates in idea generation, UAT, testing and release management until BAU.
  • Build a culture of process improvement. Take Entity Maintenance up the value chain.
  • Lead from the front for large scale transformation projects linked with organizational strategy and future fit Industry best in class business models.
  • Identify process/operational/organizational changes which will improve the current environment from a quality or efficiency perspective and execute on those changes.

  • Candidate would need to represent the department as the lead SME for the business not just limited to operations, data quality, data governance, ideation.

  • Review and set objectives for all staff in consultation with the AVP / VP.
  • Actively participate and promote Center Wide CSR activities.
  • Develop staff to achieve business / individual goals, sharing knowledge and experience and aiding on referred issues.
  • Ensure performance management scheme / reviews / discussions is implemented consistently and on a timely manner in accordance with policies & procedures and in coordination with the management.
