Administration Assistant - Security Department



Job Description



Perform administrative and office support activities for Security Department. Attend telephone calls and direct them to the required point of contact. Create spreadsheets and presentations, and maintain proper filing.
1 .Provide general administrative and clerical support including mailing, scanning, faxing and copying to Management.
2. Closely monitor the weekly schedule for the Security team.
3 .Prepare and modify documents including correspondence, reports, drafts, memos and emails.
4.Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
5 .Maintain supplies inventory for the Department by checking stock, anticipate needed supplies, place and expedites orders for supplies.
6 .Schedule and coordinate meetings and appointments.
7 .Take detailed minutes of meeting.
8 .Contribute to team effort by accomplishing related results when and as needed.
9. Ensure all HR documents are sent on time with necessary signatures. Archive and maintain all peronnel files (for sick leave, annual leave, duty resumption forms, probation forms, etc..)
10. Manage petty cash for the department.

Skills



EDUCATION: Minimum high school diploma; graduate preferred
PROFESSIONAL EXPERIENCE: Minimum 3 years experience as an Administrative Assistant
COMPUTER SKILLS: Expert User of MS Office
LANGUAGE SKILLS: Bilingual - Fluent in English and Arabic
