Summary:



We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will be responsible for managing a wide array of administrative tasks, from scheduling and coordination to handling personal errands.
This role requires excellent communication skills, a high degree of professionalism, and the ability to work under pressure in a fast-paced environment.

Requirements



Minimum of 3 years of experience in an executive support role. Excellent command of both English and Arabic; fluency in writing and speaking. Must possess a valid driver’s license and a car and be willing to run errands as needed. Demonstrated ability to work long hours and remain on call for urgent tasks, reflecting strong dedication and work ethic. Proficient in Microsoft Office Suite, Google Suite, and other relevant software tools. Excellent organizational, problem-solving, and analytical skills, including the ability to pass a reasoning and problem-solving exam. Ability to handle sensitive information with the highest degree of integrity and confidentiality.

Roles & Responsibilities:



Meeting Coordination:


- Attend all meetings alongside the CEO, take comprehensive notes, and manage follow-up tasks and calendar events.
- Arrange all scheduling for meetings including selecting optimal dates, times, and locations based on priority and type of meeting.

Administrative and Legal Support:


- Act as a liaison between the CEO and various internal departments as well as external entities including company governance and legal arms.
- Manage administrative tasks related to legal dealings in coordination with attorneys and other legal professionals.

Office Management:


- Oversee office improvements and maintenance efforts to ensure a productive work environment.
- Source and manage relationships with vendors and research new technologies and tools to enhance office efficiency.

Personal Assistant Duties:


- Handle personal errands for the CEO, including but not limited to, government and family- related tasks, receiving shipments, and arranging meals and travel.
- Manage personal purchases and reservations effectively while being entrusted with a company credit card.

Stakeholder Relations:


- Replace designated board members in meetings as required and maintain relationships with investors.
- Prepare documentation and perform a thorough review of all materials before they are signed by the CEO.

Project and Task Management:


- Arrange critical office visits and ensure that all projects and tasks are followed up on, pressuring timely completion to meet deadlines.
