Coordinate with the HR department and liaise with the relevant government departments to carry out all the activities for official collection and submission of government applications including but not limited processing and acquiring of all staff visas and labour cards as well as processing of a variety of legal documents in timely manner while ensuring all documentation is up-to-date and visa and other approvals are received on time.

·Responsible for visa processing and submitting visa applications to immigration and labour offices for the following: KSA employment visa, renewal / transfer visa, visit visa, business visa and foreign visa required for business travel after ensuring proper documentation.


·Provide assistance to employee regarding each category of visa details, their procedures and required documents.


·Deal with general enquires regarding PRO functions promptly and efficiently to enhance the level of department service.


·Renew, update and maintain the trade licenses and other government certificates of all company’s legal entities to ensure that the documents are up-to-date.


·Renew and maintain all company’s leases before its expiry, which includes offices, company apartments.


·Maintain the list of all employees along with their visas details and renewable of visa and properly communicate the renewable of visa before its expiration.


·Guide and assist employees in renewing visas for their immediate dependents and provide them necessary information regarding visa details and requirement of documents.


·Arrange processing attestation of employee qualifications as required.


·Accurate preparation of documents according to the requirement of the legal authorities and maintain records of employee personnel files.


·Maintain confidentiality and security of company and employee documents at all times


·As a subject matter expert provide continuous advice in regards to the new rules in the governmental departments.


·Provide continuous update in regards to the developing the visa process and facilitating with the governmental departments.


·Keep abreast of latest developments in the field of quality assurance and update quality specification and standard to gain a competitive edge.


·Ensure compliance to Safety, Quality, Food Safety and Environment requirements as specified in the global QHSE Management System with strict adherence to ISO and local regulatory authority


·Ensure that all records and documents are up to date and have full traceability and retrieval at all times and that all processes, procedures & activities comply with ISO and management procedures.


             Perform any other job/task assigned by the Line Manager to accomplish department objectives.


Requirements

Education/ Qualifications


·Bachelor Degree in Business or any related discipline.


Experience


·Minimum 3-4 years’ experience as PRO in KSA with demonstrable knowledge of all PRO functions


Functional Skills & Specific Knowledge


·Understanding of Labour laws is a must


·Fluency in Arabic and English is a must


·Computer literate with knowledge of working with MS Office applications.


·Strong organisation skills and have the ability to work in a fast-paced environment.


Good relationship in all Government departments in KSA
