About the job Sales Administration Specialist

Job Description:


As a Sales Administration Specialist at DataPatrol, you will play a critical role in supporting the sales team and ensuring the efficient operation of the sales process. Your primary responsibilities will revolve around administrative tasks that enable our sales professionals to focus on building relationships with clients and driving revenue. You will be responsible for maintaining accurate sales records, assisting with sales proposals, and providing essential administrative support.


Key Responsibilities:


  • Sales Documentation: Prepare and maintain sales contracts, proposals, quotes, and other essential sales documents. Ensure accuracy and compliance with company policies and standards.
  • Customer Interaction: Communicate with clients to collect necessary information, answer inquiries, and assist in resolving customer issues or concerns.
  • Sales Reporting: Generate and analyze sales reports to track performance metrics, identify trends, and provide insights to the sales team and management.
  • Order Processing: Process and manage customer orders, including order entry, order tracking, and coordinating with other departments to ensure timely order fulfilment.
  • CRM Management: Maintain and update the customer relationship management (CRM) system with accurate and current customer data, interactions, and sales activities.
  • Support Sales Team: Assist sales representatives by providing administrative support, including scheduling meetings, managing calendars, and preparing sales presentations.
  • Billing and Invoicing: Collaborate with the finance department to ensure accurate and timely billing and invoicing for sales transactions.
  • Inventory Management: Monitor and manage inventory levels of sales collateral, promotional materials, and product documentation.

Requirements:


  • Education: Bachelor's degree in business administration, marketing, or a related field is preferred. Relevant work experience can be substituted for formal education.
  • Experience: A minimum of 2-3 years of experience in a sales administration or support role, preferably within the cyber security industry or a related technology field.
  • Organizational Skills: Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
  • Communication: Excellent verbal and written communication skills to interact with clients and internal teams effectively.
  • Technology Proficiency: Proficiency in MS Office Suite (Word, Excel, PowerPoint), CRM software (HubSpot, Sales Force), and other relevant sales and office productivity tools.
  • Customer Focus: A customer-centric approach with the ability to understand and respond to customer needs promptly.
  • Team Player: Collaborative and able to work effectively in a team environment.
  • Cyber Security Knowledge: Basic knowledge of cyber security concepts and terminology is a plus but not mandatory.
  • Adaptability: Ability to adapt to a fast-paced and evolving environment in the cyber security industry.
  • Confidentiality: Maintain a high level of confidentiality when handling sensitive sales information.
