Tenders & Quotations Coordinator - (340)



ACCOUNTABILITIES:



TENDERS & QUOTATIONS:



Responsible for preparing proposals, quotations, tenders, and contract drafting for sales representative of All division ( LAB, Medical, Surgical) and meeting deadlines & requirements of the inquiries.



Sourcing inquiries for (Gov

PVT) through their procurement channels (Portals, email (RFQ) and announcements (newspaper &



other sources) and developing of new business leads through various sources daily and weekly bases.


Quote and submit online quotation and hard copy submission after getting the approval from the sales team.



Commitment to deadline and overall closing date with high attention to details.


Ability to understand the wide products ranges and ability to recognize sales opportunities due to submit a response against all possible quotes.



BUSINESS NETWORK



Follow up with customer to know progress / status on the quotation and tenders.



Build and keep a good relationship with all buyers to provide Zahrawi with the support need before and after submitting response to follow up on the status of tenders/responses, contracts/or LPO and support after sales services.


Follow up on the status of participated inquiries, technical/ or documents requirements for evaluation and after sales support functions.



Reporting all new procedures of tendering for all our governmental and private clients to line managers and business units’ managers to arrange /prepare the needed process/ solution and adapting the changes of natural of the work.


Support and coordinate with Sales team to arrange for pricing, technical specifications and alignment with the end user.



Review all tender documents, general and special terms and conditions of the tenders to align with their requirement technically and administrational aspect.



DOCUMENTATION



Optimization of tender process; recording participated tenders and keep a real-time tracker up to date, documentation of all participated tenders as QMS standards of Zahrawi.



Documentation of tenders, quotations, contracts, and all other documentation related to inquiry as of all commercial and technical details.


Ensuring the bid bond, performance bond and bank guarantees are arranged as per the requirements of the customer.



Managing a appropriate records of Bank Guarantees for new and existing contracts/or awarded inquiry as per the client requirements and review issued guarantees and confirm alignment with client requirement & correction of the guarantee’s details.


Preparing of letter of warranty, undertaken, offer validity Extension etc



Sourcing technical/support details request by the client with a very limited time (shelf life, GTIN, Barcode, ..etc) from sales/procurement team or from principal company website/ FDA certificates and other global associations.



REQUIREMENTS



Education: Bachelor’s degree Additional details: + Candidates need to be Arabic speakers due to the nature of the job
+ Candidate should be willing to move to Company Visa
+ Candidate should be based in UAE
Experience: 2 - 3 years of experience Job Specific Skills: Tenders, Quotations, Supply Chain, Bid-bonds, Performance-bonds.
