Job Title: Administration Officer


Job Purpose: To ensure seamless administrative and logistical operations by delivering efficient, timely, and customer-focused support services while maintaining compliance, safety, and continuous improvement across all administrative functions.


Key Responsibilities:


1. Administrative & Logistical Support


  1. Manage and coordinate travel arrangements, cab services, accommodation, canteen services, security passes, and other administrative support functions.
  2. Ensure timely and high-quality service delivery to internal customers and visitors.
  3. Drive customer satisfaction through proactive service management and issue resolution.

2. Issue Resolution & Compliance


  1. Liaise with cross-functional departments (including central services at Hazira) for timely resolution of administrative issues.
  2. Ensure 100% closure of admin-related issues within defined timelines.
  3. Maintain 100% compliance with WMS (Work Management System) checklist requirements.
  4. Identify and implement cost-saving initiatives (minimum 10% savings target).

3. Audit & Governance


  1. Proactively track and close Internal Corporate Audit observations.
  2. Ensure: No repeat observations from previous audits & Zero high-risk audit observations
  3. Maintain necessary documentation and ensure adherence to audit standards.

4. Facility Management & Resource Availability


  1. Ensure proper housekeeping standards across administrative buildings, canteen, and VP’s office.
  2. Maintain 100% availability of required resources and infrastructure for smooth day-to-day operations.
  3. Monitor vendor performance and service quality.

5. Safety & Compliance


  1. Promote and enforce safe working practices across all admin-related activities.
  2. Ensure zero safety incidents in the department.
Required Skills & Competencies
  1. Strong coordination and stakeholder management
  2. Excellent problem-solving and communication skills
  3. Knowledge of facility management, logistics, and admin processes
  4. Understanding of safety standards and compliance systems
  5. Ability to work proactively and handle multiple priorities
