Job Roles & Responsibilities: Admin Part
- Organize and manage schedules and calendars.
- Confer with accounting department to help make payments, process incoming invoices, and verify receipts.
- Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed.
- Create reports and memos for managers.
- Attend meetings and record notes and messages for managers.
- Plan the Admin Budget in coordination with the HR Manager.
- Oversee the Housekeeping operations: offices, desks, WC, etc… to ensure their cleanness.
- Order the needed materials and supplies.
- Review the stationary and the cleaning stock at the warehouse to decide on what to be purchased after the approval cycle.
- Ensure the needed for the new hired employees: furniture, office stationary, … as per the approval cycle.
- Ensure that fixed assets are well maintained.
- Ensure a smooth and proper transportation for company staff.
- Follow up on Buses/cars hygiene.
- Follow up on staff complaints regarding transportation cleaning and driver’ s performance.
- Responsible for the Hotel Reservation of employees and visitors.
- Responsible for employees and customers flight booking.
- Responsible for ensuring compliance with all applicable labour policies, laws and regulations.
Job Roles & Responsibilities: Accounting part
- Perform accounting duties throughout the project, such as preparing invoices, PI, and signing off on purchase orders.
- Analyze all transactions and work unforeseen costs into the budget.
- Keep a record of all project finances for internal/external auditing and tax purposes.
- Data Enty -Supervise accounts payable and accounts receivable activities.
