Our client, an independent commodity trading house & logistics company based in Dubai, is seeking an Executive/Administrative Assistant to join their team. This role will be based in DMCC, Dubai.
Key Responsibilities:
- Warmly greet clients and visitors, providing direction and assistance as required.
- Manage incoming calls and messages efficiently, ensuring prompt and professional responses.
- Coordinate the handling of mail, packages, and deliveries, maintaining accuracy and timeliness.
- Schedule appointments and meetings, optimizing calendars for efficiency.
- Maintain office cleanliness and organization to uphold a professional working environment.
- Monitor and manage office supplies, as well as weekly catering needs.
- Provide administrative support to various departments, assisting with tasks as needed.
- Operate and maintain office technology, ensuring functionality and accessibility.
- Assist in making travel arrangements and coordinating events as necessary.
- Handle ad hoc tasks and projects as assigned, demonstrating flexibility and adaptability.
Qualifications:
- Bachelor's degree preferred.
- Proven experience in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong communication skills, both written and verbal.
- Exceptional organizational abilities with a keen eye for detail.
- Ability to multitask effectively and prioritize tasks based on urgency.
- Discretion and confidentiality when handling sensitive information.
