Job Summary
We are seeking a highly organised, discreet, and professional Executive Assistant to provide
comprehensive support to the Managing Director. This is a pivotal role that requires
exceptional attention to detail, the ability to manage competing priorities, and the confidence
to liaise with senior stakeholders on behalf of the MD. The ideal candidate will be proactive,
resourceful, and capable of working in a fast-paced, dynamic business environment.
Key Responsibilities
Calendar & Schedule Management
• Manage the MD's calendar, resolve scheduling conflicts, and prioritise time effectively.
• Prepare daily and weekly briefing notes on upcoming commitments and priorities.
Communication & Correspondence
• Screen and manage emails, calls, and correspondence; draft and proofread high-level
communications on behalf of the MD.
• Serve as the primary point of contact for stakeholders and ensure timely follow-up on all action
items.
Meeting & Event Coordination
• Coordinate board, leadership, and client meetings — including agendas, meeting packs, and
minutes.
• Track action items and manage logistics for company events and MD-led initiatives.
Travel & Logistics
• Arrange complex domestic and international travel (flights, hotels, visas, transfers) with detailed
travel packs.
• Handle last-minute changes and disruptions calmly and efficiently.
Administrative & Office Support
• Maintain organised filing systems, manage expense reports, and process invoices and
reimbursements.
• Coordinate with HR, Finance, Legal, and Operations to support the MD's priorities; assist with
board packs and strategic reports.
Stakeholder & Relationship Management
• Build and maintain strong relationships with internal and external stakeholders, clients, and
partners.
• Manage the MD's contacts database and represent the MD with professionalism in all
interactions.
Requirements
• Bachelor's degree in Business Administration, Management, Communications, or a
related field.
• Minimum 2–4 years of experience in an Executive Assistant or Senior PA role, ideally
supporting C-suite or senior leadership.
• Exceptional organisational and time management skills with a keen eye for detail.
• Strong written and verbal communication skills in English; Arabic or additional
languages are an advantage.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital
collaboration tools (e.g., Teams, Zoom, SharePoint).
• Ability to handle sensitive and confidential information with complete discretion.
• Calm under pressure with the ability to manage multiple priorities and shifting
deadlines.
• Professional presentation and demeanour at all times.
• Flexibility to work beyond standard office hours when required to support the MD's
schedule.
