Job Description

The Procurement Officer is responsible for managing the procurement process within the organization and contributing to its smooth functioning and success.

 

As a Procurement Officer, your responsibilities include but are not limited to the following. Also, note that these roles and responsibilities might change in due course or immediately if any situation arises.

 

Vendor Management:

 

  • Identify and evaluate potential suppliers and subcontractors.
  • Negotiate contracts, terms, and conditions with suppliers to secure the best pricing and quality.
  • Maintain relationships with existing suppliers, ensuring performance meets company standards.

Sourcing and Selection:

 

  • Collaborate with project teams to determine procurement requirements for each project.
  • Source and select suppliers that meet project specifications, quality standards, and budget constraints.
  • Conduct cost-benefit analysis to make informed procurement decisions.

 

Procurement Process:

 

  • Develop and implement procurement strategies and policies to optimize the purchasing process.
  • Generate purchase orders and contracts, ensuring accuracy and compliance with company guidelines.
  • Monitor the progress of procurement activities to ensure timely delivery.

 

Cost Control:

 

  • Analyse supplier quotations and negotiate pricing and terms to achieve cost savings.
  • Track and report on cost variations and recommend cost-effective alternatives when necessary.

 

Quality Assurance:

 

  • Ensure that materials and equipment meet required quality standards and specifications.
  • Collaborate with quality control and inspection teams to verify product quality.

 

Documentation and Reporting:

 

  • Maintain detailed procurement records, including contracts, invoices, and correspondence.
  • Prepare procurement reports for management and project teams.

 

Compliance and Regulations:

 

  • Stay updated on relevant laws, regulations, and industry standards related to procurement.
  • Ensure compliance with company policies and legal requirements.

 

Problem Solving:

 

  • Resolve procurement-related issues, disputes, and discrepancies.
  • Address any delays or disruptions in the supply chain promptly.
