Job description

The Sourcing Assistant will be responsible for providing operational and execution support for the VIC sourcing channel by enabling the acquisition of rare and high-value luxury items. He/She will be coordinating across suppliers internal teams and client-facing materials to ensure accurate timely and elevated service delivery.



Responsibilities:

• Supporting the Luxury Acquisition Specialist and VIC team in scaling of the sourcing channel through disciplined execution and process consistency
• Protecting sourcing service standards through accurate communication and reliable follow-through
• Enabling an elevated sourcing experience through premium presentation quality and strong attention to detail
• Contributing to SLA tracking and performance reporting to support commercial decision making
• Coordinating sourcing requests end to end from inquiry to delivery ensuring timely follow ups and accurate timelines
• Facilitating in managing supplier communication on availability specifications pricing and lead times
• Liaising with Buying and Personal Shopping teams to align on options alternatives and approvals
• Building client-ready presentations including lookbooks moodboards and curated edits aligned to brand standards
• Maintaining sourcing trackers request statuses and performance reporting including SLAs conversion and revenue
• Supporting after-sales activities for sourced items including delivery issues product concerns and exchanges or returns where applicable
• Coordinating with Customer Service and Operations teams to resolve complex sourcing fulfilment cases
• Supporting sourcing-related moments including previews launches exclusives and client appointments



Qualifications:

• Bachelor’s Degree in Business, Fashion Management, Marketing, Supply Chain, or related fields 
• 1-2 year’s experience in luxury retail, personal shopping, or administrative coordination
• Demonstrating strong administrative execution and attention to detail while managing multiple parallel requests
• Communicating clearly and professionally in writing for supplier and internal coordination
• Using Excel or Google Sheets confidently for trackers SLA monitoring and reporting
• Preparing high-quality presentations using PowerPoint Google Slides and preferably Canva
• Applying basic design capability using Photoshop or InDesign for premium client materials preferred
• Demonstrating passion for luxury brands with awareness of high-value accessories and market dynamics
• Handling sensitive VIC requests with high levels of discretion and professionalism
• Comfortable working with tight timelines and frequent external follow-ups
