Job Description


Job Purpose: Under the direct supervision of the Risk and Compliance officer, the incumbent will deliver a wide range of business support processes and activities to facilitate effective service delivery in the area of Risk Management. The duties include but not limited to: collecting, analyzing, and reporting data ; ensuring data accuracy from various sources; providing suggestions for improvement; collaborating with other units to collect/share information as well respond to routing queries ; checking document completeness and conformity to identify discrepancies or missing information; supporting drafting of written materials, (reports, letters, etc);  

The Business Support Assistant will be required to demonstrate good organizational, confidentiality, and proactivity skills while being a team player who can confidently and effectively communicate with a wide range of individuals. 

 

Key Responsibilities (not all-inclusive, nor exhaustive):

•   Collate information for inclusion in reports, documents, and correspondence, to support the effective work of other staff. 

•   Support coordination of Risk Management related processes including the Executive Director's Assurance Exercise and Audit and External Audit exercises (e.g., collect essential documents, take notes in briefing meetings and assist in following-up on recommendations including maintaining a repository).

•   Respond to standard queries related to risk management and provide timely and accurate guidance. 

•   Process and manage routine administrative tasks in various risk areas, to contribute to the effective and timely management of work plan and resources. 

•   Manage and maintain records and databases, such as country office Standard Operating Procedures (SOPs) and NFRs to ensure information is organized and readily available for staff. 

•   Support the collaboration with all units through provision of risk management support to assist in information sharing and service delivery to staff. 

•   Proof-read risk reports, documentation, correspondence, donor agreements, SOPs, working group terms of references (TORs) etc., making changes to incorporate risk management where appropriate. 

•   Contribute to improvement of business procedures and processes in relation to risk management and how risk is embedded within the CO workstreams.

•   Collect and perform basic analysis of data to contribute to quality business information management. 

•   Provide guidance to junior colleagues in performing their duties.
