Job Description

  • Providing administrative support to ensure efficient office operations.
  • Managing and organizing paperwork, documents, and files.
  • Answering phone calls, taking messages, and handling correspondence.
  • Scheduling appointments, meetings, and travel arrangements for staff.
  • Maintaining office supplies inventory and placing orders when necessary.
  • Assisting in the preparation of reports, presentations, and other documents.
  • Data entry and database management.
  • Handling incoming and outgoing mail and packages.
  • Coordinating office events, conferences, and meetings.
  • Greeting and assisting visitors to the office.
  • Assisting with basic bookkeeping tasks, such as invoicing and expense tracking.
  • Liaising with other departments and external partners as needed.
  • Providing support to other team members as required.
  • Maintaining confidentiality of sensitive information.
  • Performing general clerical duties, such as photocopying, scanning, and filing.


Skills

  • Proven experience as an administrative assistant or similar role.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in completing tasks.
  • Ability to prioritize tasks and work effectively under pressure.
  • Discretion and confidentiality when handling sensitive information.
  • Problem-solving skills and resourcefulness.
  • Ability to work independently with minimal supervision.
  • High school diploma or equivalent qualification; additional certifications in office administration are a plus.
