Job Description
The Document Controller is a critical administrative role responsible for managing and maintaining the organization's document control system.
As a Document Controller, the responsibilities include but are not limited to the following. Also, note that these roles and responsibilities might change in due course or immediately if any situation arises.
- Accurately process and record all technical documentation following established procedures, ensuring that they meet project, client, and regulatory requirements.
- Independently handle all aspects of project documentation utilizing various document control practices and Electronic Document Management Systems (EDMS).
- Effectively handle both design and supplier documents, ensuring they are organized and readily accessible.
- Keep track of the progress of in-house and client reviews of technical data, ensuring timely reviews and approvals.
- Ensure that hard copy and electronic record files are maintained in good order to comply with Quality Assurance (QA) requirements.
- Contribute to the compilation of final project dossiers, as-built portfolios, and archiving, ensuring all project documentation is complete and organized.
- Create and maintain a systematic and comprehensive project filing system for easy retrieval and reference.
- Produce exception reports, comment on overdue reports, and any other reports as needed for Project Management review, providing insights on document control status.
- Undertake additional tasks as required by the Lead Document Controller or Document Control Supervisor to support the document control team and overall project needs.
