About the job Document Controller
- Organize, maintain, and update all project-related documents, including drawings, specifications, reports, correspondence, and other records.
- Ensure the accuracy, completeness, and integrity of documents by verifying their authenticity and relevance to project requirements.
- Establish and maintain a systematic filing and retrieval system for easy access and reference to project documentation.
- Coordinate with project teams, contractors, and stakeholders to collect, review, and distribute documents as per project requirements.
Document Control Procedures:
- Develop and implement document control procedures and workflows to streamline document management processes and ensure compliance with company policies and standards.
- Track and monitor document revisions, changes, and approvals using document control software or systems.
- Generate document transmittals, logs, and reports to track the status and distribution of project documents accurately.
- Maintain confidentiality and security of sensitive or proprietary information contained in project documents.
Quality Assurance:
- Support quality assurance processes by assisting in the preparation and maintenance of quality documentation, including quality plans, procedures, and records.
- Ensure that all project documents are reviewed and approved by the appropriate personnel before distribution or use.
- Assist in internal and external audits by providing requested documents and records in a timely and organized manner.
Communication and Coordination:
- Facilitate communication and collaboration between project teams, contractors, clients, and other stakeholders regarding document requirements, revisions, and approvals.
- Respond to inquiries and requests for information regarding project documents promptly and professionally.
Qualifications:
- Bachelor's degree or equivalent in Business Administration, Information Management, or related field.
- Minimum of 2 years of experience in document control, preferably in the construction or engineering industry.
- Proficiency in document management software and systems, such as Documentum, SharePoint, or Aconex.
- Strong organizational skills and attention to detail to maintain accurate and up-to-date records.
- Excellent communication and interpersonal skills to interact effectively with project teams and stakeholders.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Familiarity with project management principles and processes is a plus.
- Must possess own visa or obtain a No Objection Certificate (NOC) from the current employer.
